We are seeking an Administrative Assistant for International Trade to provide comprehensive follow-up on imports, shipments, emails, documentation, and coordination with freight forwarders and customs agents. The candidate will serve as direct support to Management and Operations; therefore, a high level of organization, sense of urgency, excellent tracking ability, and capacity to administratively manage multiple processes simultaneously are required.
Position objective:
To provide administrative and operational support to the international trade department by ensuring timely follow-up on emails, shipments, imports, documentation, coordination with freight forwarders, customs agents, and logistics providers—while keeping management informed about status updates, risks, estimated arrival dates, and critical pending items.
Functions and responsibilities:
* Daily follow-up on emails related to imports, shipments, suppliers, freight forwarders, customs agents, and internal customers.
* Monitor the status of maritime, air, and land shipments, including estimated departure, arrival, customs clearance, and delivery dates.
* Provide end-to-end follow-up on import processes until administrative and operational closure.
* Review, compile, organize, and safeguard physical and digital files for each international trade operation.
* Support preparation, review, and control of import/export documentation, as well as related customs procedures.
* Coordinate communication with freight forwarders, customs agents, carriers, and logistics providers to ensure timely information flow.
* Maintain updated reports, dashboards, and internal controls for shipments, costs, incidents, and committed deadlines.
* Promptly inform management about delays, risks, missing documentation, or operational incidents.
* Track invoices, expenses, payments, and supporting documentation linked to operations, in coordination with Administration or Accounting.
* Ensure administrative order in files, evidence, receipts, and supporting documentation for internal reference.
* Coordinate with Procurement, Warehouse, Finance, and Management to align timelines, priorities, and operational needs.
* Prepare periodic status and pending-item reports to facilitate managerial decision-making.
Required technical knowledge:
* E-commerce.
* Shopify platform (recommended).
* Basic TikTok Shop handling (desirable).
* Google: Sheets, Docs (desirable).

Minimum requirements:
* Completed or incomplete Bachelor’s degree in International Trade, International Business, Logistics, Administration, or related field.
* 1–3 years of experience in administrative or operational roles within international trade, logistics, imports, or documentation.
* Experience in shipment tracking, interaction with freight forwarders, customs agents, and logistics providers.
