Are you an organized, creative person with strong management skills and a passion for event production? We are seeking an Event Production Coordinator to join our team and lead and execute all stages of high-impact cultural events across various cities in the country.
REQUIREMENTS:
* Education level: Bachelor's degree.
* Proven experience in cultural event production or similar fields.
* Strong organizational ability, task tracking, and capacity to manage multiple activities simultaneously.
* Excellent oral and written communication skills.
* Ability to work under pressure and solve problems in real time.
* Familiarity with management platforms such as Monday or similar tools.
* Preferred: basic budget management, venue scouting, and travel logistics.
* Availability to travel and work on some weekends or outside regular hours.
KEY RESPONSIBILITIES:
Pre\-production:
* Curation of topics, speakers, and venues in collaboration with Management.
* Management of strategic partnerships with institutions, brands, sponsors, and open calls.
* Preparation of event-specific and annual budgets.
* Ongoing communication and follow-up with partner brands.
* Management of scouting: flights, accommodations, appointments, and venue visits.
* Coordination with Creative Direction for the design of each event.
* Direct liaison with speakers: interviews, material requests, logistics, and follow-up.
* Hiring and management of suppliers (technical, furniture, catering, photography/video).
* Coordination of brand communications: materials, logos, guest lists, and brand visibility.
* Development of timelines, checklists, meeting minutes, and task lists on platforms such as Monday.
* Submission of special permits, invitation letters, and sponsorship forms.
Production (on-site):
* Full coordination of the event on execution day.
* Supervision of setup, technical rehearsals, and teardown.
* Support for speakers, partners, and suppliers.
* Inspection of restrooms, dressing rooms, catering, and brand visibility.
* Minute-by-minute monitoring and resolution of unforeseen issues.
Post\-production:
* Management of photographic and audiovisual materials.
* Delivery of materials and databases to speakers and brands.
* Preparation of evaluation reports, key learnings, and quantitative data.
* Invoicing, submission of final budget, and documentation archiving.
* Updating of directories and inventories.
* Coordination of evaluation meetings with partners.
Working hours: Monday to Thursday, 9am–6pm; Friday, 9am–2pm
