The data clerk ensures data accuracy and availability and collaborates in the company's input acquisition process, contributing to maintaining an effective workflow within the organization. **Main Responsibilities** * **Data Entry:** * Accurately and timely capture and transcribe information into computerized systems. * Review and correct any errors in entered data, ensuring information quality. * **Document Verification:** * Review and validate the authenticity and accuracy of documents prior to system entry. * Compare captured data with original sources to detect inconsistencies. * **Organization and Filing:** * Maintain organized digital and physical files, labeling and classifying documents to facilitate access. * Scan and digitally store documents when required. * **Procurement Support:** * **Purchase Order Management:** Create, update, and send purchase orders to suppliers, ensuring accuracy in specifications, quantities, and delivery timelines. * **Supplier Follow-up:** Monitor and update purchase order status, verifying delivery deadlines and product availability. * **Quotation Comparison:** Assist in obtaining and comparing quotations from different suppliers, ensuring optimal quality\-price ratio. * **Invoice and Receipt Recording:** Capture and validate invoices and product receipt documents in the system, ensuring alignment with purchase orders. * **Supplier Communication:** Contact suppliers to resolve queries, confirm delivery details, or manage possible returns or claims. o **No cash handling.** Only under previously submitted quotation. * **Reporting:** * Generate and deliver periodic reports on the volume and quality of captured information. * Provide purchase order status, pricing, and product availability reports to support decision-making. * **Technological Tools Handling:** * Use data capture programs and databases (Excel, Access, ERP, or company-specific software). * Operate procurement or ERP software for supplier and purchase order tracking. Per the second clause of your employment contract, the aforementioned duties are not exhaustive of your primary role; therefore, you must perform all ancillary and related tasks associated with your principal obligation, executing them with the utmost diligence and efficiency, in the manner, timeframe, and location directed by your immediate supervisor. **Requirements** * **Education:** Minimum completed high school diploma or technical degree in administration, logistics, or related fields. * **Experience:** 6 months to 1 year in data entry, procurement support, or similar positions (preferred). * **Technical Knowledge:** * Advanced proficiency in Microsoft Office, especially Excel. * Basic knowledge of database systems and/or ERP. * **Skills:** * Attention to detail. * Organizational skills and ability to handle multiple tasks. * Effective written and verbal communication. **Personal Competencies** * Responsibility and punctuality. * Discretion and confidentiality management. * Ability to identify and correct errors. * Negotiation and problem-solving skills in procurement management.
