




Job Summary: Responsible for the comprehensive management of the parts department, ensuring operational efficiency, customer service quality, and regulatory compliance. Key Highlights: 1. Accounting: Monthly closing and submission of VWM purchase journal entries. Credit and Collections: Processing customer credit applications, customer payments, preparation of credit notes. Service Management: Planning of monthly offers; monitoring parts supply to workshop (critical cases). Systems Head: Failures of various network components, ETKA, parts locator, BUSSINES PRO (price updates). RAD: Coordination and supervision of various quality programs within the parts area. CRM: Responsible for planning and execution of advertising and promotions for parts sales, and control of results. Body & Paint Head: Parts orders and deliveries, quotations. Administrative Service Head and Warranty Coordinator: Verification of correct parts pricing charged under warranty. AFASA Manager and Sales Executives: Preparation of equipment quotations. **EXTERNAL** Customers: Discount requests, parts requests and deliveries. Suppliers: Negotiation of delivery prices and payment terms, contract control and valuation. VW Plant: Ordering critical parts, back-ordered parts, returns, email communication. Regional Managers: Work plan and agenda. ISO 9001 Auditors: Attend annual reviews and recertification. **4. KEY CHALLENGES.** Parts sales agreement signed with WVM. Parts credit line: 2 points, maximum utilization 85%, with a maximum of 9% blocked days per quarter. Maintain 100% of inventory stratified into ABC layers. **5. DECISIONS.** Advise personnel under supervision on all administrative and technical matters. Determine discounts for different customer types in accordance with VWM-established policies. Delegate responsibilities according to each employee’s position. Define sales strategies to promote various original VW parts and accessories. **6. OBJECTIVES.** Ensure efficient departmental organization to deliver high-quality customer service and meet company requirements. Responsible for conducting periodic inventories. Responsible for ensuring sales files contain accurate and complete data. Responsible for custody, organization, cleanliness, usage, and updating of departmental literature. Plan and implement optimal use of space and equipment, as well as optimal staff performance. Plan staff training, maintain training matrices and schedules, and keep complete training records. Conduct internal training courses for staff periodically, implement work methods, and develop proposals. Responsible for updating procedures jointly with RAD. Supervise display of accessories in showrooms (parts and sales). Comply with functions specified in Operating Standards, regulations, and legal obligations. Provide pricing and part-number availability information, warranties, etc., upon request. Monitor customer and competitor behavior in the parts market and notify General and Administrative Management of significant changes and developments. Ensure work quality and customer service quality in the parts area (timelines, parts delivery, and invoicing). Supervise and motivate staff. Ensure timely and optimal parts supply aligned with demand, avoiding excessive expenses (minimizing daily orders). Supervise orderliness and cleanliness of the parts warehouse and work area, and coordinate accordingly. Guarantee optimal parts storage in accordance with customer, workshop, and Volkswagen de México requirements. Monitor and control expiry-dated products to optimize resources, and avoid accumulation of obsolete materials. Maintain a report on lost sales and communicate it to General Management, including valuation. Report daily sales to General Management via informative report. Ensure staff complies with appropriate formats for assigned functions. Monitor and track departmental performance, considering interdependence with other business areas—primarily the workshop. Maintain continuous oversight of a cost-effective work method within the department. Supervise updating and tracking of the reservation area. Comply with and enforce all Quality Management System instructions, Safety and Hygiene measures, and Ecological measures.
