Position Summary: We are seeking a highly organized and proactive Personal Assistant to the Director to provide comprehensive administrative and executive support, optimizing the school principal’s efficiency and productivity. We seek a highly organized, proactive, and professional Personal Assistant to the Director to provide comprehensive administrative and executive support to the school principal. The ideal candidate will be an experienced professional capable of anticipating needs, managing changing priorities, and maintaining confidentiality at all times. Their primary objective will be to optimize the principal’s efficiency and productivity, enabling them to focus on strategic decision-making. **Key Responsibilities:** *Communication*: Serve as the primary point of contact, screening phone calls, emails, and correspondence. Draft, review, and distribute internal and external communications. *Administrative Support*: Prepare presentations, reports, and documents. Efficiently manage physical and digital filing systems. Handle expense management and report preparation. *Project and Event Coordination*: Assist in coordinating special projects and school events, ensuring deadlines and objectives are met. *Relationship Management*: Maintain effective communication with clients, partners, employees, and other stakeholders on behalf of the principal. *Anticipating Needs*: Proactively identify and resolve issues before they arise, as well as anticipate the principal’s needs and take necessary actions. **Required Skills and Competencies** *Proficiency in Office Tools*: Advanced experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration tools (e.g., Google Workspace, Slack, Teams). *Time Management and Prioritization*: Demonstrated ability to manage multiple tasks, set priorities, and meet deadlines in a dynamic, high-pressure environment. *Effective Communication*: Excellent verbal and written communication skills, with the ability to interact effectively with individuals at all organizational levels. *Organization and Attention to Detail*: Exceptional ability to organize information, maintain accurate records, and attend to the smallest details. *Problem Solving*: Ability to identify problems, analyze situations, and independently propose effective solutions. *Discretion and Confidentiality*: Absolute reliability in handling sensitive and confidential information. *Languages*: Advanced proficiency in Spanish and English (spoken and written) is essential. Knowledge of a third language is a plus.
