Position Summary: Ensure operational continuity and optimal condition of business units through external supplier management and cost optimization. Key Highlights: 1. Emergency response and budget control **Position Objective:** Ensure operational continuity and optimal condition of all business units through planning, contracting, and supervision of external suppliers, optimizing costs and response times. **Main Functions (Responsibilities)** * **Portfolio Management:** Recruit, evaluate, and qualify specialized suppliers (plumbing, electrical, HVAC, civil works, etc., and/or advisory, telecommunications, etc.). * **Bidding and Quotation:** Request at least three quotations for major jobs and negotiate fixed rates for preventive maintenance. * **Scheduling (Planner):** Create and monitor the preventive maintenance calendar for each branch to avoid operational downtime. * **Remote/On-site Supervision:** Verify that the supplier fulfills the contracted scope, safety standards, and expected quality before authorizing payment. * **Budget Control:** Manage monthly maintenance expenses and report variances. · **Emergency Response:** Serve as the first point of contact for critical incidents, immediately assigning the appropriate supplier. · **Management and tracking of already-contracted services:** Telecommunications, internet, advisory services, etc. **Technical Competencies (Hard Skills)** * **Reading Drawings and Budgets:** Ability to understand construction concepts and materials. * **Contract Management:** Legal knowledge regarding service-level agreements (SLAs) and performance bonds. * **Software Proficiency:** Intermediate Excel (pivot tables for cost analysis) or use of asset management software (CMMS). * **Regulatory Knowledge:** Familiarity with local safety, civil protection, and environmental regulations; basic knowledge. **Behavioral Competencies (Soft Skills)** * **Negotiation:** Ability to secure better pricing and priority response. * **Sense of Urgency:** Capacity to prioritize what must be fixed today versus what can wait until Monday. * **Assertive Communication:** Effective mediation between branch manager needs and supplier capabilities. * **Integrity:** Ethical handling of contract assignments and resource management.
