Objective: Manage a company’s outgoing cash flow by processing invoices, making supplier payments, reconciling accounts, and ensuring the accuracy of financial records. Key responsibilities include verifying invoices, scheduling transfers, securing approvals, and maintaining up-to-date accounting files to ensure timeliness. Main Responsibilities of a Payment Assistant: Invoice Processing: Receive, verify, classify, and record supplier invoices in the accounting system. Payment Management: Prepare timely payments (wire transfers, checks), ensuring amounts are accurate. Account Reconciliation: Compare supplier statements with internal records to identify discrepancies. Documentation Validation: Ensure invoices have required approvals (department heads, purchase orders) prior to processing. Supplier Support: Resolve inquiries and disputes related to payments or overdue invoices. Filing and Control: Maintain an organized and updated record of all financial transactions and supporting documents. Support for Accounting Close: Assist in month-end closing processes. Requirements: Education: Bachelor’s degree in Accounting (preferred), Finance, or Business Administration. Work Experience: 6 months to 2 years in similar roles in accounts payable, treasury, or administrative support. Advanced Excel: Proficiency in spreadsheet applications for expenditure tracking. Accounting Software: Experience with SAP. Skills: Attention to Detail: Accuracy in data entry to prevent financial errors. Organization: Ability to manage multiple tasks and tight deadlines.
