Required Education: **High School Diploma / Bachelor’s Degree** Required Profession: **Business Administration / Accounting / Commerce / Economics** Recommended Experience: **1 year or more** Suggested Experience: **Administration / Customer Service / Correspondence / Organization / Human Resources** Computer Skills: **Microsoft Office Suite** Required Skills: **Analytical Skills / Numerical Proficiency / Technological Competence** Work Location: **Xalapa** Working Days: **Monday to Saturday** Days Off: **Sunday** Willingness to Travel: **Yes** Relocation: **Desirable** Shift: **Day Shift** **Organizational Responsibilities** * Represent Brains to its customers, suppliers, and personnel associated with company activities with respect, courtesy, and professionalism. * Manage and deliver administrative and operational support services related to customer service and human resources. * Support collection management and technical and administrative documentation handling with Brains’ customers and suppliers. **Main Functions** * Update accounting books and/or systems to record and control new company income and expenses. * Issue and review monthly invoicing for assigned projects, and email invoices to the Commercial Manager or Operations Director for corresponding processing. * Prepare and validate credit notes when required, in relation to the invoice being applied. * Request and track issuance of fiscal receipts (CFDIs) and payment complements from suppliers. * Print and archive received and issued invoices monthly, both physically and digitally, using consecutive numbering. * Perform relevant tasks to maintain physical and digital control of the company’s vehicle fleet (maintenance, repairs, compliance with vehicle registration requirements per state license plates, acquisition of new vehicles, insurance policies, GPS systems, etc.). * Request and review information provided by staff regarding requests for resources to maintain movable assets. * Review requests for office supplies within the department and assist in their distribution. * Safeguard bank deposits made to Brains, both physically and digitally. * Report accidents, incidents, or events occurring both inside and outside the office. * Timely prepare and complete supporting documents and records generated in the performance of duties and/or upon request by the immediate or higher-level supervisor. * Assist in implementing new company projects. * Actively support and participate in public tenders where the company is bidding, contributing necessary administrative expertise. * Apply knowledge and best practices in corporate administration within one’s area of competence. * Perform other duties related to the above, as required by BRAINS, as necessary.
