




Job Summary: This position involves comprehensive attention to condominium owners, reservation management, inventory control, collections, supplier administration, and coordination of events and assemblies. Key Responsibilities: 1. Attention and follow-up to condominium owners. 2. Administrative and operational management of the condominium. 3. Coordination of events and assemblies. **1\. ATTENTION TO CONDOMINIUM OWNERS** // In-person, telephone, and email reception, attention, and follow-up to condominium owners. **2\. CLUBHOUSE RESERVATION CONTROL** // Reserve clubhouse facilities, inform condominium owners of the clubhouse reservation process; on the event day, deliver the clubhouse using the established formats: Deposit as Security and Clubhouse Delivery\-Reception Checklist; coordinate the time and date for post-event delivery; verify supplies in the clubhouse for events; issue sanctions to condominium owners who violate the Condominium’s Internal Regulations. **3\. TAG AND DOMESTIC STAFF CONTROL** // Assign tags, distribute access cards, maintain the Domestic Staff Registry, and inform condominium owners of procedures for each event using established formats. **4\. CONDOMINIUM INVENTORIES / ASSETS** // Monitor inventory inflows and outflows, including supplies, tools, and work equipment of the condominium. **5\. MAINTENANCE FEE COLLECTION CONTROL AND RECEIPT** // Update bank account statements, prepare receipts, record payments in the system, make collection calls, and file receipts in the Accounting folder. **6\. DELIVERY OF PRIVATE UNIT AND PROPERTY REGISTRATION** // Deliver the Condominium’s Internal Regulations to new residents or tenants, and compile the Private Unit file with the property’s legal documentation. **7\. OFFICE QUOTATIONS** // Provide personalized service to suppliers, obtain quotations for condominium services (minimum three for major investments), and submit them to management; once quotations are approved, track progress until procurement of goods or services, always securing the best SERVICE, WARRANTY, WORK QUALITY, and PRICE. **8\. SUPPLIER PAYMENT CONTROL** // Process payments to condominium suppliers, prepare check requisition forms, collect authorized signatures on checks, and file requisitions and supporting documents in the folder for submission to Accounting. **9\. PETTY CASH CONTROL** // Manage and administer petty cash for minor condominium expenditures. **10\. CONSTRUCTION AND REMODELING CONTROL (CONTRACTOR BONDS)** // Prior to commencement of any construction work, request required documentation from the condominium owner per the Internal Construction Regulations, in coordination with the Architecture Committee; request a bond from the contractor for private unit construction. **11\. MOVING IN/OUT CONTROL** // Register and monitor moves in accordance with procedures stipulated in the Condominium’s Internal Regulations. **12\. NOTICES AND ANNOUNCEMENTS** // Distribute relevant notices regarding updates, events, etc., via email or written communication. **13\. EVENT COORDINATION** // Conduct guest census, coordinate ticketing, obtain quotations from suppliers, distribute invitations, and provide on-site assistance and support during events. **14\. ORDINARY AND EXTRAORDINARY ASSEMBLIES** // Provide on-site support during assemblies, coordinate activities before and after assemblies, and collect signatures when required.
