Application of continuous improvement methodologies and internal controls **Job Description: Process Specialist (Administrative Areas)** Analyze, design, document, implement, and optimize administrative processes across all company departments, ensuring operational efficiency, standardization, internal control, and continuous improvement aligned with business strategic objectives. **Departments Interacted With** * Human Resources * Finance and Accounting * Procurement and Supply Chain * Accounts Payable and Receivable * Treasury * General Administration * Systems / ERP * Executive Management **Main Functions and Activities: Process Analysis and Diagnosis** * Map current processes (AS\-IS) across all administrative departments. * Identify bottlenecks, functional duplication, rework, and operational risks. * Analyze time, cost, controls, and responsibilities for each process. **Process Design and Improvement** * Design optimized processes (TO\-BE) focused on efficiency, control, and standardization. * Propose continuous improvements aimed at reducing costs, time, and errors. * Implement improvement methodologies (BPM, Lean, continuous improvement, Kaizen, etc.). * Ensure proper segregation of duties and internal controls. **Documentation and Standardization** * Develop flowcharts, process manuals, policies, and procedures. * Define performance indicators (KPIs) per process. * Maintain up-to-date documentation of administrative processes. * Support creation of organizational and job description manuals. **Implementation and Monitoring** * Coordinate implementation of new processes or improvements with involved departments. * Train staff on processes, policies, and procedures. * Monitor correct execution of defined processes. * Measure results and ensure KPI compliance. **Systems and ERP Support** * Collaborate in implementing, enhancing, or updating administrative systems and ERP. * Ensure processes are properly aligned with systems. * Document operational workflows within the system. **Compliance and Control** * Ensure processes comply with internal and external regulations. * Support internal and external audits. * Identify operational risks and propose preventive and corrective controls. **Job Requirements** **Education** * Bachelor’s degree in Business Administration, Industrial Engineering, Accounting, Finance, or related field. * Preferred specialization or certification in Processes, Quality, or Continuous Improvement. **Experience** * Minimum 3–5 years as a Process Specialist or Process Analyst. * Demonstrable experience across **all administrative departments**. * Preferred experience in service, construction, or corporate companies. **Technical Knowledge** * Process mapping and documentation. * Flowcharting tools (Visio, Bizagi, Lucidchart, or others). * Internal control and continuous improvement. * Performance indicators (KPIs). * ERP systems (SAP, CONTPAQi). * Intermediate–advanced Excel.
