### **Job Purpose:**
Responsible for administrative activities to provide necessary support to the Head of the area, assisting with specific actions, functions, and responsibilities. Support the coordination of the area’s administrative and operational activities, as well as provide solutions to internal customers’ needs within the area. Coordinate global visits and area event logistics. Manage payments to suppliers related to such events.
### **Key Responsibilities and Functions:**
Promptly attend to individuals—both internal and external—who visit or request meetings with the Head of the area.
* Organize the Head of the area’s schedule—including internal and external meetings and events—promptly addressing all requirements arising from their activities and responsibilities.
* Ensure proper routing of correspondence and other documents related to the Head of the area’s activities.
* Control and deliver information required by the Head of the area.
* Maintain the Executive Office’s filing system organized and up to date.
* Arrange meetings and schedule internal and external appointments.
* Manage area event logistics (Roadshow, Kick Off, Off Site).
* Generate schedules for global visits.
* Manage payments to suppliers related to such events.
* Schedule the Head of the area’s commitments, meetings, and projects.
* Prepare and distribute agendas to attendees of meetings or working sessions.
* Prepare information and support logistics planning for events.
* Answer and route telephone calls received by the Head of the area.
* International senior executives.
* Senior executives both within and outside the organization.
* Collaborate with team members in the area as required.
* Share knowledge and/or experiences focused on improving area processes.
* Inform the immediate supervisor of situations hindering continuity of assigned projects and/or processes.
* Route correspondence to the Head of the area by subject and priority.
* Archive and organize all documents generated in the assigned Executive Office.
* Record and track documents and reports sent externally.
* Verify travel allowances and miscellaneous payments.
* Take notes of all messages (information) and matters related to the Executive Office.
### **Requirements:**
Bachelor’s degree in Administrative Fields
* Commercial Secretarial School – Bilingual Program
* Intermediate English proficiency; oral and written communication skills required.

Experience:
* 3–5 years’ experience at executive level
* Two years organizing events and managing executive-level schedules and activities
* Experience operating switchboards, answering and routing calls, and managing appointments.
* Experience performing filing and file control activities.
