JOB FUNCTIONS DESCRIPTION 1 Manage and maintain the management’s calendar up-to-date, ensuring appropriate prioritization of tasks and time allocation. 2 Coordinate meetings, appointments, and commitments, including necessary logistics for proper execution. 3 Prepare, organize, and safeguard administrative documentation, reports, and relevant information for management. 4 Promptly follow up on agreements, pending items, and projects assigned by management, ensuring timely and accurate completion. 5 Act as liaison between management and various company departments, facilitating internal communication. 6 Handle and manage phone calls, emails, and requests, providing timely responses and routing them appropriately. 7 Prepare meeting minutes and follow up on established action items. 8 Support preparation of reports, presentations, and executive summaries. 9 Coordinate logistics for travel, per diems, and events related to management. 10 Control and keep physical and digital files of management up-to-date. 11 Handle confidential information with discretion and responsibility. 12 Support organization and improvement of administrative processes to optimize management operations. 13 Preparation, tracking, and closure of tenders; control of expenses/per diems for management; administration of income/expenditure in cabinets where the company participates; quotations and support in collections. 14 Perform any other duties inherent to the position as assigned by management.
