




Operations Coordinator / Executive Operations Assistant/Virtual Assistant **Location:** 100% Remote (Mexico only) **Language:** Fluent English (spoken and written) **About the Role** We are looking for a **highly organized, detail\-obsessed Operations Assistant** to work directly with leadership and support the day\-to\-day execution of our business. This is not a casual VA role. You will be deeply involved in: * Managing systems and workflows * Supporting sales operations and reps * Handling client communications * Keeping projects, data, and tasks clean, accurate, and on track If you enjoy creating order, following systems, catching errors before they become problems, and being someone the team can rely on completely, this role will fit you well. Who This Role Is For You are someone who: * Naturally thinks in checklists, processes, and structure * Notices inconsistencies and fixes them without being asked * Is comfortable working closely with sales teams and leadership * Takes ownership of tasks and follows through without reminders * Is looking for a **long\-term role**, not a short\-term gig You understand that operations is about **preventing problems**, not reacting to chaos. **Core Responsibilities** * Keep tasks, deadlines, and follow\-ups organized across ClickUp and internal systems * Daily Operations \& Task Management * Ensure nothing slips through the cracks * Maintain clean folder structures, naming conventions, and documentation **Client \& Internal Communication** * Communicate with clients to collect missing information, clarify details, and provide updates * Handle customer communications with professionalism and clarity * Relay leads, updates, and critical information to sales reps and leadership **Sales \& CRM Support** * Update and maintain CRM records, pipelines, and deal statuses (GHL preferred) * Support sales reps with lead handoff, follow\-ups, and pipeline accuracy * Assist with QA for lead flow, client data, and sales activity **Systems \& Tools** You will regularly work inside tools such as: * GoHighLevel (GHL) * ClickUp * PandaDoc * QuickBooks * Make or Zapier You don’t need to be an expert in all of them, but you must be **comfortable navigating systems, learning fast, and following SOPs precisely**. **Required Skills \& Traits** * Extremely organized and detail\-oriented * Strong written and spoken English * Trustworthy, reliable, and consistent * Comfortable working with CRMs and sales teams * Tech\-savvy and able to learn new tools quickly * Able to work independently in a remote environment * Takes pride in clean, accurate work **Experience Requirements** * 2\+ years in operations, admin support, VA, EA, client coordination, or similar roles * CRM experience (GHL is a strong advantage) * Experience supporting sales teams or client\-facing workflows **Nice to Have (Not Required)** * Digital marketing or agency experience * GHL automations, triggers, or workflows * Zapier or Make experience * SOP creation or documentation experience * QA, data cleanup, or auditing experience **What We Offer** * Long\-term role with a stable U.S.\-based company * Clear responsibilities and structured expectations * Direct collaboration with leadership * Opportunity to grow into senior operations, systems, or automation roles * Remote\-first environment built for focused professionals **How to Apply (Read Carefully)** To be considered, please submit: * Your CV or resume Job Type: Full\-time Pay: $9,995\.00 \- $21,855\.14 per month Work Location: Remote
