**"Logistics Administrative Assistant"**
**Position Objective:**
To provide comprehensive support to the organization’s administrative and operational processes—particularly for operations in Mexico—ensuring accurate execution of tasks such as documentation coordination, inventory management, billing handling, and internal/external customer service—all with a focus on efficiency, traceability, and regulatory compliance.
**Key Responsibilities:**
* **Provide internal and external customer service.**
* **Handling Inquiries:** Promptly and professionally address, manage, and resolve inquiries, requests, and complaints from internal customers (company employees) and external customers (clients, suppliers).
* **Problem Resolution:** Identify and resolve issues or concerns raised by customers, ensuring their satisfaction and maintaining positive relationships.
* **Effective Communication:** Maintain clear and effective communication, providing relevant and accurate information regarding the company’s products, services, and processes.
* **Request Tracking:** Monitor the status of requests and complaints to ensure resolution within established timeframes and keep customers informed.
* **Support administrative operations.**
* **Coordination with customs agents:** Collaborate with customs agents to ensure all required documentation is complete and up-to-date.
* **Documentation Review:** Verify that necessary documents—including invoices, permits, and certificates—comply with customs regulations.
* **Monitoring Processing Times:** Track and supervise nationalization timelines to identify potential delays and implement corrective actions.
* **Record Updates:** Maintain an updated record of all nationalization processes to ensure traceability and adherence to established deadlines.
* **Conduct cyclic inventory counts at distributor warehouses.**
* **Planning Cyclic Counts:** Establish a schedule for cyclic counts to ensure they are performed regularly and systematically.
* **Stock Verification:** Physically verify and record product quantities in stock, ensuring alignment with system records.
* **Discrepancy Identification:** Detect and analyze differences between physical stock and accounting records, implementing corrective actions as needed.
* **Plan and execute procurement of finished goods and services from local and international suppliers.**
* **Execute electronic invoicing processes.**
* **Accounts Receivable and Collections Management**
* **Accounts Payable Follow-up**
* **Operational Management of Administrative, Accounting, and Financial Information**
* **Perform administrative support tasks related to permits, and payments to government and private suppliers.**
* **Prepare reports and coordinate projects and activities**
**Requirements:**
* **Gender:** Not specified.
* **Age: 25 \- 35**
* **Technical degree or Bachelor’s degree in Business Administration, International Business, Industrial Engineering, Accounting, or related field (completed degree).**
* **Experience:** Minimum 2 years performing the above responsibilities, plus experience in:
* Database management.
* Information analysis.

* Process optimization orientation, decision-making, and operational control.
