The person in this role will be responsible for ensuring the smooth operational and administrative functioning of the firm, supporting partners and the leadership team in coordinating their daily activities, managing client service, and efficiently overseeing office resources. **Key ResponsibilitiesClient Service and Communication:** * Answer and screen incoming calls, providing professional and courteous service. * Provide clear and accurate information about the firm’s services to current and prospective clients. * Prepare and send service proposals, and follow up promptly on their status until closure. * Draft and manage formal correspondence in Spanish. **Billing and Financial Control:** * Generate and send invoices to clients promptly, with follow-up until receipt. * Monitor accounts receivable and coordinate accounts payable with the finance team. * Maintain records and control of the firm’s expenses, preparing periodic reports. **Scheduling and Logistics:** * Schedule and confirm appointments for partners and associates, managing reminders and follow-ups. * Reserve and coordinate meeting rooms, ensuring availability and proper setup. * Book airline tickets, arrange accommodations, and coordinate transportation for business travel. * Manage executive team calendars, prioritizing and reconciling commitments. **Office Administration:** * Manage inventory and procurement of office supplies, ensuring sufficient stock levels. * File, organize, and safeguard client files and documents, ensuring confidentiality and integrity. * Assist at reception by screening calls and welcoming high-level visitors. * Provide general administrative support to partners and the executive team. **Requirements:** * Experience: 2–4 years in Administrative Assistant, Executive Assistant, or similar roles (preferably within law firms, consulting firms, or financial institutions). * Languages: Advanced English (spoken and written) preferred. * Technical Skills: Proficiency in Microsoft 365 or Google Workspace (Outlook/Calendar, Word/Docs, Excel/Sheets, PowerPoint/Slides). * Key Competencies: Excellent organizational skills, ability to prioritize and manage multiple tasks simultaneously. * Professional Attributes: Strong attention to detail, absolute discretion, and ability to work independently. * Availability: Flexible schedule; willingness to handle urgent matters or work outside regular hours when necessary. * Valid driver’s license, preferred. **Desired Skills:** * Experience with productivity or project management tools (e.g., Asana, Notion, Trello). * Familiarity with CRM systems or client databases. * Basic knowledge of billing, expense reimbursement, and cost control. * Experience coordinating with notaries or handling corporate documentation. **Behavioral Competencies:** * Initiative and ability to anticipate team needs. * Excellent communication and interpersonal skills. * Solution-oriented attitude with sound judgment. * Results-driven mindset and consistently professional conduct. **What We Offer:** * The opportunity to join a prestigious, rapidly growing law and strategy firm. * A professional, collaborative, and dynamic work environment. * Competitive salary and comprehensive benefits package. * Ongoing opportunities for professional development and growth.
