**Job Profile: Documentation Assistant**

**General Purpose of the Position**
Support the preparation, structuring, and formalization of documentation required to substantiate the materiality of invoiced transactions, as well as organize and formalize evidence provided by clients or internal departments, thereby generating comprehensive files that support tax substantiation in accordance with traditional verification guidelines.
**Key Responsibilities**
* **Creation of Materiality Documentation**
* Prepare reports, minutes, operational deliverables, justifications, and supporting evidence for invoiced transactions.
* Draft foundational documentation when initial information is limited, applying conservative criteria to substantiate the transaction.
* **Structuring of Client-Provided Evidence**
* Receive, review, and formally organize documents, files, and evidence submitted by clients or internal departments.
* Arrange and supplement evidence to meet materiality and traceability requirements.
* **Integration of Substantiation Files**
* Consolidate all documentation (both created and received) into a complete, clear, and well-organized file.
* Cross-check that information aligns with invoicing records, scope of services, and operational logs.
* **Preliminary Verification**
* Identify gaps, inconsistencies, or weaknesses in the evidence.
* Request additional clarifications from involved departments when necessary.
* **Document Safeguarding and Control**
* Maintain digital and physical files in accordance with traditional archiving practices.
* Prepare folders for tax reviews, audits, or third-party requests.
* **Administrative and Operational Support**
* Prepare progress reports on materiality integration processes.
* Support tax and compliance departments in routine documentation tasks.
**Position Requirements**
**Academic Qualifications**
* Technical degree or incomplete bachelor’s degree in Accounting, Administration, Law, or related field.
**Experience**
* 0–2 years in administrative, archiving, documentary integration, accounting support, or tax support roles.
* Prior experience managing files or supporting audits is desirable.
**Technical Knowledge**
* Familiarity with tax documentation and materiality requirements.
* Basic understanding of invoicing and operational deliverables.
* Systematic handling of files, repositories, and document control.

Salary: $12,000\.00 \- $13,049\.73 per month
