Fleet Control Coordinator

Job Summary: This role is responsible for overseeing fleet operations, ensuring proper documentation, maintenance, and safety protocols for vehicles and personnel. Key Responsibilities: 1. Manages preventive and corrective maintenance of the fleet. 2. Coordinates and follows up on insurance claims with insurers. 3. Ensures compliance with vehicle documentation and safety equipment. . Safeguard and ensure correct application of driver evaluation forms. . Request, inventory, control, and track proper use of seals (green, blue, and bottle seals) and their corresponding logbooks. . Coordinate and follow up with the maintenance department on preventive and corrective service for units, both at external workshops and internally at LEMA, until units are back in circulation. . Control and manage delivery and dispatch of rented semi-trailers from the internal LEMA yard to the client's external yard. . Request, control, and follow up to ensure the entire fleet is equipped with necessary safety equipment and tools for operation. . Develop executive driver itineraries and routes, and monitor adherence to assigned activities in coordination with other internal LEMA departments. . Request, control, and ensure all related personnel are provided with required safety equipment and tools to safeguard their integrity. . Request, control, and safeguard the fleet key inventory (2 sets), including their assignment. . Complete, deliver, and safeguard fleet assignment liability forms along with the unit checklist (Asset Security) previously authorized by Operations. . Request and coordinate with the procurement department the installation and maintenance of fleet signage. . Request, control, and follow up on preventive and corrective maintenance of semi-trailers at external workshops as well as internally at LEMA. . Request, control, and follow up on preventive and corrective maintenance of utility and passenger vehicles at external workshops as well as internally at LEMA. . Guide and follow up on insurance claims jointly with insurers, the Assets and Values department, and Asset Security Monitoring. . Request, inventory, safeguard, and audit incoming and outgoing tools (straps, bars, etc.), machinery (Karcher, compressor, etc.), materials (paint, thinner, etc.), and consumables (soap, brooms, etc.). . Coordinate and schedule washing of fleet vehicles entering the yard. . Request tires by size, control and audit tire inventory, generate descriptive reports on tire usage until disposal (burst, puncture, or wear), and supervise proper tire incineration. . Coordinate with the Assets and Values department on registration and deregistration of units and updating of digital files. . Request, deliver, verify, and ensure all fleet units possess required operational documentation (inspections, tenancy tax, circulation card, insurance policy, bond, customs clearance, windshield sticker, etc.), always maintaining backup documentation to enable prompt unit integration. . Request and follow up on installation of Mobil Fleet and Ultragas TAGs. . Coordinate with staff under supervision to maintain order, cleanliness, and upkeep of their work areas. . Follow up until receipt of METR forms (Waste Receipt Manifest) and safeguard them. . Coordinate with the Asset Security department on receipt of units due to decommissioning or operator change. . Report incidents involving supervised personnel weekly (Thursday to Wednesday) via email to the Operations Manager for approval. Request, control, and follow up on installation of PASE TAGs and notify involved departments via email of assignments.
