




Position Summary: Responsible for onboarding and maintaining customers, managing invoice review and payment processes, collections, and administration of files and cash flow forecasts. Applying payments and tracking collections RESPONSIBILITIES: Customer Onboarding in System: Based on requirements from Procurement and Sales departments, enter necessary customer data into our systems to enable invoicing. Continuously maintain our system’s customer master file to keep it updated and compliant with all requirements for effective invoicing. Review Process: Receive invoices issued by the company to initiate the review and payment process with our customers. Compile required documents (proforma invoice, commercial invoice, receipt acknowledgment, purchase order, etc.) as specified by customers to begin the review and payment process. Comply with each customer’s specific review and payment requirements—whether physical or electronic—using assigned portals or sending documentation to customer-designated email addresses. Maintain appropriate controls to verify that invoices have completed the customer’s review process and are scheduled for payment. · Collections: Perform necessary activities to maintain a healthy accounts receivable portfolio. Maintain ongoing communication with customers to anticipate potential deviations in the payment process, report any delays, and resolve issues arising during collections. Manage and clarify outstanding items with customers to ensure timely payments. Review daily bank statements (provided by Finance) to identify customer payments received the previous day and inform Accounting accordingly. Apply customer payments in the SIA system. Track, as needed, Unidentified Deposits (UDIs), and follow up to identify them and apply them correctly in our systems. Continuously monitor the payment status of our invoices with customers. Take necessary actions upon identifying delays in payment and/or payment scheduling of our invoices. Cancel and/or request cancellation of invoices when required. Issue required payment complements in accordance with tax regulations. Issue credit notes when necessary. Administration: Continuously update customer files to maintain complete historical records. Prepare cash flow collection forecasts with a minimum visibility of six weeks. During the first five days of each month, reconcile our systems (SIA and COI).
