




**Administrative Assistant (with experience in IMSS, Infonavit, SAT, and Odoo)** **Position Objective** Provide administrative and operational support at AS Consultoría Integral, ensuring accurate handling of invoicing, procedures with IMSS/Infonavit/SAT, internship management, and updating information in the ERP (Odoo) and digital tools, while maintaining document organization and regulatory compliance. Key Responsibilities **Invoicing and Basic Accounting Administration** * Review and issue pending invoices in **ERP Odoo** or directly on the **SAT**, verifying tax data, CFDI usage, and tax regime prior to issuance. * Download **XML and PDF** invoice files and send them to the institutional email for archiving. * Prepare specific recurring invoices (e.g., monthly billing to certain clients) and maintain records in Excel/Google Sheets. * Perform **payment complements in Odoo**, reconciling them with the bank statement (date, amount, and client). * Request external invoices via supplier portals and record the information in the **administrative Excel file**, uploading files to corresponding folders in Drive. **Email and Institutional Communication Management** * Daily review of the general email **hola@asconsultoriaintegral.com**, including inbox and spam folders. * Classify emails by type: invoicing, resumes/internships, projects, general inquiries, etc. * Follow up on or route each email to the appropriate department, marking as unread those requiring attention from other departments. **Internship Recruitment and Onboarding Support** * Review CVs and internship applications received via the institutional email. * Conduct screening calls (5–10 minutes) to verify: field of study, university, internship period, available schedule, motivation, and development interests. * Confirm compliance with internal criteria (e.g., not performing social service and internships simultaneously, etc.). * Coordinate with department heads to schedule interviews or confirm acceptance. * Draft and send welcome messages, share links to documentation folders, and add new interns to WhatsApp groups for onboarding. * Support the **onboarding process**, sharing the Odoo eLearning onboarding course and, where applicable, area-specific courses (Administrative Assistant, Designers, Community Manager, etc.). **Procedures with Government Institutions (IMSS, Infonavit, SAT)** * Support the **employee registration and personnel movement processes in IMSS** via IDSE: data entry, submission of movements, and downloading of acknowledgments. * Access the **Infonavit employer portal** to download fiscal status certificates and verify absence of outstanding debts. * Log into the **SAT portal** to download fiscal status certificates and compliance opinions, using company-provided data. * Issue payroll CFDIs on the SAT when required, following internal guidelines. **Documentation and Official Form Management** * Prepare **DC-3 certificates**, using the automated Excel template, entering worker information, course details, training provider, and other required fields, generating the PDF, and saving it in the appropriate folder or sending it to the client. * Complete **institutional forms**, such as Format 9 (evaluation of host entity by student) and others required by universities or internship programs. * Maintain the administrative archive updated with links, invoice records, certificates, and documentation. **Platform and Basic Service Support** * Process **utility payments** (e.g., CFE electricity) via online portals, ensuring download and archiving of payment receipts. * Upload courses to the **Odoo eLearning module**: create course, add sections/content, link materials from Drive, and publish. Position Requirements **Education:** * Technical degree or Bachelor’s degree in **Administration**, **Accounting**, **Human Resources**, or related field. **Experience:** * Minimum **1–2 years** in a similar administrative role. * Demonstrable experience in: * Electronic invoicing (SAT and/or ERP). * Basic use of **IMSS (IDSE)**, **Infonavit**, and **SAT** for queries and certificate downloads. * Institutional email management and administrative follow-up. **Technical Knowledge:** * Proficiency in **ERP** (preferably **Odoo**) for invoicing, accounting, or eLearning. * Basic knowledge of **employer-related procedures** (registrations, personnel movements, acknowledgment downloads). * Proficiency in **Excel/Google Sheets** (searches, filters, record completion, document hyperlinks). * Use of **Google Drive** or similar tools for document organization. Skills and Soft Competencies * **High attention to detail** (tax data, names, dates, official formats). * **Organization and follow-up**, ability to manage multiple tasks simultaneously. * Clear and formal written communication for emails and interactions with institutions/universities. * Friendly and professional demeanor when interacting with interns, internal and external clients. * Discretion and **confidentiality** in handling sensitive information (tax, employment, personal data). * Proactivity in proposing improvements to administrative processes.
