Coordination for proposal preparation **Position Objective** Provide administrative support in managing and preparing proposals for public or private tender and competition processes, ensuring correct integration of required administrative, technical, and legal documentation, as well as compliance with guidelines and timelines established in each tender notice. **Functions and Responsibilities** **Tender and Competition Management** * Assist in searching for and reviewing tender and competition notices across various platforms and portals. * Download and analyze tender documents, technical annexes, and administrative requirements. * Maintain an updated record of tenders and competitions in which the company participates. **File Integration** * Collect required administrative, legal, and financial documentation for each process. * Assist in integrating physical and digital tender files. * Verify that documentation is complete, valid, and complies with specified requirements. **Proposal Preparation Support** * Assist in completing forms, annexes, and documents requested in tender documents. * Coordinate with technical, cost estimation, and administrative departments to gather necessary information for proposals. * Review that information is organized and presented according to the tender notice’s guidelines. **Control and Tracking** * Track key dates: publication, clarification meetings, proposal submission, and award announcement. * Monitor each process until its conclusion. * Prepare status reports on tenders and competitions. **Document Archiving and Control** * Maintain organized physical and digital archives of tenders, proposals, and contracts. * Update databases and historical records of participation in competitions and tenders. **Position Profile** **Education:** Technical degree or bachelor’s degree in Administration, Civil Engineering, Architecture, or related field. **Experience:** Preferred 6 months to 1 year of experience in administrative tasks, tender management, or document control. **Knowledge:** * Proficiency in Microsoft Office suite (Excel, Word, PowerPoint). * Document organization and control. * Familiarity with public or private tender processes is desirable.
