Effective Communication with Operational Departments **Job Description** **1.0 General Description:** Coordinate and verify Setup area activities to ensure correct preparation of work orders, guaranteeing that all required materials, components, and documentation are complete, verified, and organized according to established procedures, in order to ensure continuity and efficiency of production operations. **2.0 Responsibilities:** **2.1 Operational Coordination** 2.1.1 Coordinate daily Setup area and material preparation activities for production orders. Maintain knowledge across 3 areas supported by different planners (DYN, ANE, URO, etc). 2.1.2 Ensure proper receipt, identification, scanning, and placement of materials from warehouse. 2.1.3 Coordinate material unloading, printing, and distribution of required forms in the scanning system. 2.1.4 Verify that components for each work order are received, scanned, and correctly organized in assigned racks. 2.1.5 Ensure materials are placed following criteria of weight, size, fragility, and compatibility. 2.1.6 Verify proper preparation of components with expiration dates, piggyback components, small parts, and special materials. 2.1.7 Maintain effective communication with Production, Warehouse, Picking, Document Control, and Quality departments to ensure operational continuity. 2.1.8 Monitor team performance and promote a workplace environment focused on safety, quality, and productivity. **2.2 Work Order Control** 2.2.1 Verify that orders are complete and ready for production before release. 2.2.2 Ensure accurate registration and control in systems (AS400, scanning system, or MPower as applicable). 2.2.3 Schedule work order release to production according to: * Dispatch and wave reports * FIFO (First In – First Out) method * Production priorities. **2.3 Materials Management and Discrepancy Resolution** 2.3.1 Coordinate resolution of material discrepancies such as: * Incorrect quantities * Wrong part numbers * Missing components * Damaged or defective materials. 2.3.2 Coordinate with Picking or Warehouse to resolve incidents. 2.3.3 Ensure proper segregation and disposition of damaged or defective materials per established procedures. 2.3.4 Coordinate appropriate handling of materials in C\-Hold and ensure their correct identification and storage. 2.3.5 Ensure appropriate handling of materials with special characteristics, including: * Components with expiration dates * Piggyback components * Small or critical materials * Temperature-controlled components. **2.4 Work Order Planning and Control** 2.4.1 Ensure correct identification, documentation, and handling of orders placed in C\-Hold status. 2.4.2 Ensure racks and associated components are properly identified and stored per established guidelines. 2.4.3 Coordinate with relevant departments for release or resolution of orders in C\-Hold. 2.4.4 Confirm each order is fully prepared prior to transfer to the production area. **2.5 Personnel Management** 2.5.1 Lead, train, and coordinate the Setup team. 2.5.2 Assign tasks and workstations according to operational workload. 2.5.3 Ensure compliance with procedures, quality standards, and good manufacturing practices. 2.5.4 Monitor team performance and provide continuous feedback. 2.5.5 Ensure verification checks and checklists are performed at the start of each shift. **3.0 Academic Requirements:** * Technical studies, completed high school, and/or incomplete university degree * Minimum 3 years’ experience as a picker. **4.0 Required Skills:** 4.1.1 Leadership and team management. 4.1.2 Activity organization and prioritization. 4.1.3 Problem-solving. 4.1.4 Effective communication with operational departments. 4.1.5 Decision-making under pressure. 4.1.6 Office software proficiency (Excel, Word, etc.), especially intermediate-level Excel. 4.1.7 Knowledge and use of internal systems such as AS400, MPower, Scanning System, etc. Medline Industries, LP is an equal opportunity employer.
