




**Job Opening: Group Travel Coordinator** **Work Mode:** On-site – TEC Zone **Standard Schedule:** Monday to Friday, 9:00 AM to 5:00 PM *(with availability for extended hours during trip operations)* **Start Date:** January 2026 **\*Interviews and hiring processes will begin in January\*** **Job Description** The candidate will be responsible for the **planning, coordination, and operational execution of EPIC Viajes’ group trips**, ensuring that each experience unfolds as scheduled and that travelers receive a **safe, warm, efficient, and memorable service**. They will serve as the **primary liaison between the agency, suppliers, guides, and customers** before, during, and after the trip. **Key Responsibilities** 1\. **Pre-Trip Planning** * Design the full itinerary logistics in coordination with the product team. * Confirm services with suppliers: hotels, transportation providers, local guides, restaurants, and activity operators. * Verify schedules, access points, transfer times, and specific operational details. * Prepare pre-trip documentation: passenger lists, rooming lists, key contacts, and daily schedules. * Ensure all tour materials are ready (banners, credentials, WhatsApp group, welcome information). * Proactively coordinate travelers’ special needs (allergies, reduced mobility, specific requests). **2\. Operational Management During the Trip** * Serve as the primary point of contact for travelers, addressing questions, requests, or emergencies. * Monitor adherence to the itinerary, timing, and daily logistics. * Ensure proper room allocation and resolve incidents with hotels. * Track group attendance at each activity. * Continuously coordinate with guides and drivers to ensure smooth and safe operations. * Manage daily communication with the group (schedules, meeting points, relevant instructions). * Handle unforeseen situations calmly and professionally (weather, delays, operational changes, emergencies). * Maintain a service-oriented attitude, assertive communication, and positive leadership. **3\.
