Discreet handling of confidential information Executive Assistant Job Objective: To provide executive and administrative support to the General Management, ensuring proper calendar management, agreement follow-up, meeting coordination, and organization of key information to facilitate decision-making and operational efficiency. Job Description: We seek an organized, discreet, proactive, and highly responsible individual to directly support the General Management. The role entails coordinating executive activities, tracking internal commitments, preparing relevant information, and maintaining effective communication across various departments within the company. Main Responsibilities: - Manage the General Management's executive calendar. - Coordinate meetings, appointments, events, and internal or external meetings. - Prepare minutes documenting agreements, responsible parties, and commitment deadlines. - Follow up on pending items, tasks, and interdepartmental commitments. - Organize business trips, itineraries, accommodations, and transportation. - Prepare reports, documents, and materials requested by General Management. - Coordinate logistics for meetings and special activities. - Monitor schedules and activities of security personnel. - Handle confidential information with discretion and professionalism. - Support communication between General Management, internal departments, and external contacts. Requirements: - Minimum 3 years of experience as an Executive Assistant, Executive Secretary, or Personal Assistant to senior executives. - Bachelor’s degree in Business Administration, Communications, Business Management, or related field. - Excellent organizational, writing, and verbal communication skills. - Proficiency in executive calendar management, minute-taking, reporting, and agreement follow-up. - Proficiency in office tools, email, digital calendars, and Drive. - Professional appearance and demeanor. - Availability, sense of urgency, and ability to manage multiple priorities.
