




Job Summary: We are seeking a paid intern/trainee to fill an administrative assistant position, managing communications and administrative operations. Key Highlights: 1. We seek a paid intern/trainee who wishes to assume the role of administrative assistant. —— Skills —— Proficiency in computer and mobile device usage; daily use of Chrome and Firefox browsers; use of WhatsApp Mobile and Desktop (group management, message forwarding, quoting replies in private chats); basic Excel; basic Word; excellent spelling; excellent writing skills. —— Responsibilities —— The intern will handle communications via messaging (WhatsApp), email, and telephone calls for administrative operational management, including: Invoice requests Bank statement requests Payment validation Invoice cancellation requests Payment supplement requests Credit note requests Debit note requests Advance payment requests Bank reconciliation Report review Payment monitoring As well as tasks related to these requests: Updating balances and account statuses in Excel Verifying and validating that same-day disbursements have been sent Entering requests into the administrative system Sending and requesting information from clients Drafting cancellation letters in Word Updating advance-related invoice tracking Customer service & sales support Other tasks related to administrative duties. —— Compensation —— $11,000 per month —— Job Location: Orizaba —— On-site at: Col. Centro, Orizaba, Veracruz, near INE (Mon–Fri) Remote work (Saturdays) —— Working Hours —— Monday to Friday, 09:00 AM to 18:00 PM (1-hour lunch break) Saturday, 09:00 to 14:00 PM —— Extended Hours —— The intern will join a team of four additional members, with whom they will rotate weekly extended-hour on-call shifts. During extended hours conducted remotely, other tasks may be performed, and response time is longer (slower), as this occurs outside standard office hours—e.g., the assistant may be commuting home, having dinner, shopping at the supermarket, etc. However, the commitment remains to respond via WhatsApp (work phone) to acknowledge receipt of the request and address it as soon as possible. The intern will cover this extended schedule approximately once every four weeks. Extended hours are: Monday to Friday, 18:00 PM to 22:00 PM, and Saturday, 14:00 to 19:00 PM. Coverage of this schedule is mandatory.
