





**Administrative Assistant – Procurement Department** * **Location:** Santa Fe, Park Plaza * **Schedule:** Monday to Friday from 9:00 a.m. to 7:00 p.m. * **Salary:** $9,000 to $10,000 MXN gross monthly + statutory benefits **Position Description:** We are seeking a committed and organized **Administrative Assistant** to join the Procurement Department within the Property Management area. The primary role will be to provide administrative support through drafting, reviewing, and updating documents and procedures, as well as maintaining databases and communicating with suppliers. **Main Responsibilities:** * Draft and review forms, memos, reports, spreadsheets, and other administrative documents. * Scan and digitally back up physical documents. * Update procedures, guidelines, and contact lists. * Record information and keep databases current. * Organize and file physical and digital documents. * Handle incoming and outgoing calls, emails, and correspondence. * Monitor and forward emails consistently. * Interact with suppliers to request quotations, budgets, and follow up on purchasing processes. * Provide service to external clients or third parties, managing their requests and files. * Communicate internally with Accounts Payable, Treasury, and Legal departments to manage payments, contracts, and related procedures. **Specific Tasks:** * Update employee attendance templates per property. * File and register addenda. * Receive box requests. * Update aging of balances. * Review and request SUA from suppliers. * Invoice registration. * Coordinate with Accounts Payable (invoice delivery), Treasury (check control), and Legal (review of supplier contracts). **Requirements:** **Education:** Completed high school. Partial bachelor’s degree in Administration, Accounting, Human Resources, or related field. **Experience:** Desirable in administrative or procurement areas.
