Coordinate day-to-day tool operations and ensure user satisfaction **Company Description** **Job Description** **Summary** The UX Tools Program Manager will lead end\-to\-end planning, delivery, and continuous improvement of internal tools and platforms that enable UX research and design teams to work efficiently. This role combines strategic program management with hands\-on coordination, balancing program execution, stakeholder alignment, vendor and partner coordination, and a strong focus on user experience and measurable outcomes. The role translates needs into roadmaps, streamlines workflows, coordinates day\-to\-day tool operations, and ensures the UX tools ecosystem is reliable, scalable, secure, and adopted across the organization. Responsibilities Strategic Program Management \- Drive the program lifecycle for internal tools from discovery and requirements through launch, adoption, and ongoing optimization \- Build and maintain a multi\-quarter roadmap aligned with business priorities, user needs, and technical constraints; communicate progress, risks, and trade\-offs \- Partner with Design/UX, UX Research, Product, Engineering, IT, Security, Procurement, Legal, and Analytics to define requirements, integrations, and success metrics \- Lead implementation and migration projects, including change management, training plans, documentation, and stakeholder communications \- Coordinate vendor management activities including RFPs, evaluations, pilots, contract renewals, SLAs, and feature requests in partnership with Procurement and Legal **Operational Coordination** \-Manage day\-to\-day tool operations including user provisioning, access requests, license management, and account administration \- Serve as the primary point of contact for tool\-related questions, troubleshooting, and escalations from UX research and design teams \- Coordinate with IT and Security to ensure proper SSO configuration, access controls, and compliance with data governance policies \- Monitor tool usage and performance to identify optimization opportunities and address adoption barriers \- Maintain up\-to\-date tool documentation, training materials, and best practice guides **Governance and Enablement \-** Own governance and standards across the tools landscape including access control, data hygiene, lifecycle management, and compliance considerations \- Develop enablement materials such as guides, training sessions, and office hours to drive adoption and best practices \- Identify and mitigate risks and dependencies; run effective intake, prioritization, status, and retrospective rituals \- Maintain strong feedback loops with users and translate insights into backlog items and incremental improvements **Qualifications** **Must\-Have Skills \-** 4–7 years of program or product management experience, with at least 2 years owning internal tools, platforms, or productivity systems \- Demonstrated success delivering cross\-functional programs on time with clear outcomes and measurable impact \- Strong requirements gathering and process design skills; ability to translate ambiguous needs into actionable plans \- Experience with vendor evaluations and contract and SLA considerations; comfort managing pilots and migrations \- Proven ability to balance strategic planning with operational execution and hands\-on coordination \- Excellent communication and stakeholder management skills; ability to influence without authority and present to diverse audiences \- Solid understanding of security, compliance, and access controls for SaaS tools and internal platforms \- Ability to manage competing priorities and context\-switch between strategic initiatives and day\-to\-day operational needs **Preferred Skills \-** Experience in enterprise environments with complex stakeholder landscapes and large\-scale tool deployments \- Experience in UX or design operations, developer productivity, or product or platform operations \- Familiarity with UX and research tooling such as Figma, Sketch, Adobe Creative Suite, UserTesting, User Interviews, Respondent, Great Question, Dovetail, Aurelius, Confluence, analytics tools, work management and collaboration platforms, and SSO or identity management systems \- Experience supporting onboarding, training, and troubleshooting for design and research tools \- Technical literacy to partner effectively with IT and Security teams on integrations, SSO configuration, and access management
