***Mission***
*Maintains up-to-date staff certifications, prepares field staff lists and consolidates them, ensures service to staff visiting offices for administrative procedures, prepares vacation and leave slips, and maintains the personnel file archive up to date.*
***Nature of Functions and/or Main Activities***
*1\. Responsible for updating certifications of staff entering special areas*
*2\. Responsible for preparing field attendance lists and consolidating them.*
*3\. Ensures completion of IMSS forms for newly hired staff*
*4\. Responsible for attending to staff conducting administrative procedures at the office.*
*5\. Responsible for locker control and assignment*
*6\. Prepares vacation and leave slips.*
*7\. Manages HR materials warehouse requisitions*
*8\. Prepares medical certificate reports*
*9\. Safeguards personnel files of newly hired staff and updates all personnel files*
*10\. Ensures printing of credentials for newly hired staff and replacements*
*11\. Conducts onboarding for new hires*
*12\. Prepares and delivers employment contracts*
*13\. Tracks performance evaluations for contract renewals or terminations*
*14\. Records disciplinary actions*
*15\. Creates new personnel files*
*16\. Enters data of newly hired employees into the FORTIA system*
*17\. Conducts recruitment interviews*
***Nature of Responsibility: Most Significant Decisions and Proposals***
*1\. Coordinates health and safety talks and special-area briefings for new hires and permanent staff.*
*2\. Prints certification cards for access to special areas, processes card replacements when required, and ensures update labels are applied to cards.*
*3\. Maintains the certification file archive and keeps it updated*
*4\. Prepares reports on access to special areas to ensure all entrants are certified, and produces weekly reports.*
*5\. Reviews evaluations administered during health and safety talks and other production-related talks, and files them in personnel records.*
*6\. Participates in biweekly health and safety meetings*
*7\. Prepares field staff attendance lists and consolidates them*
*8\. Makes follow-up calls regarding staff absences*
*9\. Provides counter service to staff visiting for administrative procedures*
*10\. Prepares vacation and leave slips for staff*
*11\. Receives and prepares reports on medical certificates and subsidies*
*12\. Safeguards personnel files of newly hired staff and maintains all personnel files up to date.*
*13\. Ensures completion of IMSS forms during mass hiring*
*14\. Assigns lockers, monitors their usage, and retrieves them upon employee termination*
*15\. Prepares office supplies requisitions and ensures availability in the area.*
**AGE**
Over 22 years old.
**ACADEMIC QUALIFICATIONS**
Bachelor’s degree in Business Administration, Public Accounting, or related fields.
**EXPERIENCE**
Minimum one (1) year of experience in similar positions.
Experience managing databases in Excel.
Knowledge of labor legal framework, including the Social Security Law (Ley del INSS), Labor Code, and other applicable labor regulations.

Salary: $11,000.00 \- $12,000.00 per month
