**Senior Operations Assistant** **Location:** Remote **Language:** Fluent English (spoken and written) **Schedule:** Full\-time, long\-term **About the Role (Read This Carefully)** We are hiring a **high\-agency Operations Assistant** to work directly with leadership and take ownership of critical day\-to\-day execution across operations, sales support, and client coordination. This is **not** a task\-only VA role. If you need constant instructions, checklists for every decision, or only feel comfortable doing exactly what you’re told, this role will not be a fit. Core ResponsibilitiesOperations \& Execution * Own task tracking, deadlines, follow\-ups, and internal workflows * Ensure nothing slips through the cracks across ClickUp and internal systems * Maintain clean documentation, folders, naming conventions, and SOPs * Identify inefficiencies and recommend improvements Sales \& CRM Support * Maintain accurate CRM data, pipelines, and deal stages (GoHighLevel preferred) * Support sales reps with lead handoffs, follow\-ups, and organization * QA lead flow, data accuracy, and sales activity * Communicate issues before they become problems Client \& Internal Communication * Communicate directly with clients to gather information, clarify details, and provide updates * Relay critical updates between clients, sales, and leadership clearly and professionally * Handle sensitive or time\-critical communication with confidence Systems \& Tools You will regularly work in: * GoHighLevel (GHL) * ClickUp * PandaDoc * QuickBooks * Zapier or Make You do **not** need to be an expert in all tools, but you must learn fast, follow SOPs, and think systemically. Required Skills \& Traits (Non\-Negotiable) * Extremely organized and detail\-obsessed * Strong written and spoken English * High personal accountability and follow\-through * Comfortable working independently in a remote environment * Tech\-savvy with strong system intuition * Calm under pressure and adaptable when priorities shift * Proactive communicator who raises issues early Experience Requirements * 3\+ years in operations, executive assistance, admin support, or client coordination * Direct experience supporting leadership or sales teams * Hands\-on CRM experience (GHL strongly preferred) Nice to Have (Not Required) * Agency, SaaS, or digital marketing experience * SOP creation or process documentation * Zapier or Make automations * QA, auditing, or data cleanup experience What We Offer * Long\-term role with a U.S.\-based company * Direct access to leadership and decision\-making * Real responsibility and trust * Clear path into senior operations or management * Remote\-first, performance\-driven environment This role will grow as fast as you do.
