Key Responsibilities: Key Functions Operational Control * Conduct on-site visits and remote monitoring to operationally supervise assigned branches. * Perform petty cash and collection receipt reconciliations to verify proper handling of resources. * Verify data entry into institutional systems by Administrative Assistants (AAs), validating accuracy, timeliness, and adherence to process. * Verify timely allocation of supplies to new AAs for commencement of duties. * Supervise proper management of prospects at branches under responsibility. Compliance and Operational Management * Follow up on audit findings, promoting corrective and preventive actions to avoid recurrence. * Verify timely, complete, and accurate submission of case files to National Office. * Perform post-approval data entry edits in justified and authorized cases. * Administer technical assessments to candidates applying for the Administrative Assistant position. * Ensure proper handover of positions upon staff resignations or terminations. * Manage institutional and office stationery assigned per branch. * Cancel prospect credit applications (CC) due to data entry errors. * Perform edits or modifications to credit agreements prior to approval, subject to institutional validation. * Follow up on CAR clients, assigned accounts, and accounts in collection, in coordination with responsible departments. Reporting and Monitoring * Analyze key operational performance indicators (KPIs), identify deviations, and establish improvement actions. * Generate and submit periodic area control reports focused on compliance. * Prepare consolidated monthly report detailing pending items per branch, documenting actions taken and progress achieved. Staff Development * Strengthen administrative talent capabilities through feedback, training, development plans, and technical mentoring. * Develop, implement, and monitor individual work and development plans for AAs. Continuous Improvement * Design and implement operational improvements aligned with needs identified by field teams or institutional findings. * Continuously evaluate current processes and propose changes that enhance operational efficiency without compromising control. * Develop monitoring tools, templates, and practical resources to strengthen AA operations. * Analyze trends (errors, findings, incidents) to generate structural and sustainable solutions. * Propose adjustments to workflows, responsibilities, and operational standards according to the evolution of the operational model. Service and Customer Care * Promote a service-oriented culture among AAs, ensuring timely and high-quality service to internal and external customers. * Act as facilitator between branches and internal departments to ensure appropriate response times. * Ensure internal and external customer experience aligns with VF Mexico’s values.
