




Position Summary: We are seeking a professional to supervise vendors, manage facilities, and support the administration of travel and events. Key Responsibilities: 1. Comprehensive facility and general services management. 2. Administrative and logistical support for travel and events. 3. Assistance in implementing new initiatives and processes. * 3 years of experience in administrative areas and ERP systems (Baan, SAP, or similar); basic knowledge of marketing, Excel, Word, and PowerPoint * Bachelor’s degree in Marketing, Business Administration, Accounting, or related field * Conversational English * Communication skills, group management, scheduling and agenda management, and work plan tracking **Tasks to be performed** 1. Supervision of building maintenance, cleaning, security, and access control vendors 2. Conduct periodic “housekeeping” activities 3. Control and safeguarding of facility keys 4. Control and tracking of property insurance policy expiration dates 5. Support in implementing and monitoring the Disaster Recovery Plan 6. Vehicle administration and control: vehicle files, liability waivers, electronic toll tags (TAG), distribution of insurance policies, safeguarding copies of keys 7. Planning and procurement of supplies required for general facility operations (pantry items, bathroom accessories) 8. Replenishment of coffee break services 9. Meeting room administration and control 10. Telephone switchboard administration 11. Support in creating purchase requisitions for general services 12. Printer and multifunction device services and maintenance 13. Primary contact for services among Help Desk, vendors, and users 14. Support in establishing services for new users 15. Creation and maintenance of collaborative services 16. Travel Arranger: Key User of the Concur platform 17. American Express card management and control 18. Support for international travel arrangements for managers 19. Support regarding travel policy compliance 20. Assistance for new employees with travel-related matters, reservations, and initial procedures 21. Scouting and contacting travel service providers: hotels, car rentals, travel agencies, taxis 22. Support in organizing marketing events 23. Logistics support for meetings, conventions, and special events 24. Visitor reception 25. Support in implementing and managing new improvement initiatives and processes 26. Support in legal and municipal procedures 27. Legal documentation file control: contracts, agreements 28.
