The company manages billing, finance, and operational coordination for clinical trials conducted in the U.S. and Latin America **Position Overview** The **Operations \& Executive Support Coordinator** works directly with the Founder/CEO to provide daily operational, administrative, and coordination support across the business. This is **not a traditional finance role**. The focus is on operational validation, coordination, reporting accuracy, and workflow organization, enabling leadership to focus on growth, strategy, and client relationships. **Key Responsibilities** *Executive \& Calendar Support* * Manage and structure CEO’s calendar, meetings, and priorities * Schedule meetings and ensure invites are properly distributed * Follow up with stakeholders to secure required information * Act as liaison between CEO and internal teams *Operational \& Billing Support* * Review and restructure monthly operational spreadsheets from regional offices * Validate fees, rates, and contract alignment before invoicing * Cross\-reference contract terms against billed amounts * Organize and prepare data for invoicing (final invoicing handled by leadership) * Proactively flag discrepancies or missing information *Internal Coordination \& Follow\-ups* * Ensure internal teams deliver reports and updates on time * Track recurring operational tasks and deadlines * Maintain organized documentation and templates *Process \& Workflow Support* * Help standardize recurring processes * Improve administrative and reporting efficiency * Support operational structure as the company scales *Clinical Research Support (when applicable)* * Assist with scheduling site meetings * Track study timelines * Organize study documentation * Liaise with CROs and research sites when needed **Required Skills \& Qualifications** * Fluent in **English and Spanish** (written and spoken) * 2\+ years of administrative or operational support experience * Strong organizational skills and attention to detail (especially with spreadsheets) * Moderate to advanced proficiency in **Microsoft Office (Excel, Word, Outlook, PowerPoint)** and Google Workspace * Demonstrable Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, formulas, data cleaning) * Strong written and verbal communication skills * Comfortable working closely with senior leadership * Ability to handle confidential information * Ability to manage multiple priorities in a fast\-paced environment **Growth Path** This role is designed to grow into: * Operations Manager * Project Manager * Clinical Operations Coordinator *Growth will depend on performance, ownership, and trust development.* Sueldo: $24,800\.00 al mes Experiencia: * Administrative or operational support: 2 años (Obligatorio) Idioma: * Advanced English (Obligatorio) Lugar de trabajo: Empleo presencial
