




Job Summary: We are seeking a File Manager to maintain, organize, and administer the physical and electronic files of the customs agency, ensuring proper management and safeguarding of documents. Job Objective Maintain, preserve, organize, and administer the physical and electronic files of the customs agency, ensuring proper management, safeguarding, and disposition of documents related to foreign trade operations, in compliance with current regulations and facilitating information access when required. Main Responsibilities * **Organize and classify** documentation generated by customs operations, including customs entries, invoices, bills of lading, air waybills, and other mandatory documents * **Keep the electronic and physical files up to date**, ensuring documents are correctly identified and stored in accordance with legal guidelines. * **Verify the integrity** and authenticity of received documents, assigning codes or references per internal procedures * **Safeguard documents** for the legally required period (minimum 5 years), in accordance with the Customs Law and the agency’s internal policies. * **Prepare reports and statements** regarding file status and availability, as well as respond to internal or external audits related to customs documentation. * **Provide support** to other agency departments by facilitating access to necessary documentation for customs operations. * **Assist in staff training** on proper file handling and the importance of documentation in customs operations. Required Knowledge * **Basic knowledge of customs entries:** Ability to identify, organize, and understand the structure and function of the customs entry as a fiscal and legal document in the import and export of goods. * **Customs operations:** Familiarity with general customs clearance processes, types of documents involved, and the importance of document preservation for regulatory compliance. * **Applicable regulations:** Customs Law, General Foreign Trade Rules, and internal guidelines on document preservation. Skills and Competencies * Organization and attention to detail. * Management of physical and electronic files. * Discretion and confidentiality in handling information. * Ability to work under pressure and meet legal deadlines. * Effective communication and teamwork. Relationship with Other Areas * Collaborates closely with the operations department, customs agents, and administrative staff to ensure proper documentation flow. Recommended Profile * Education: Completed high school or technical administrative degree (preferred). * Experience: 1 year managing files, preferably within a customs agency or a foreign trade-related area. * Basic knowledge of customs entries and customs operations.
