· Carry out administrative tasks required by the Administrative Secretary to support operational activities. · Review correspondence and email, and follow up accordingly. · Organize and maintain files of documents and letters—generally confidential—as well as schedules and records, determining their location when necessary. · Proactively address basic needs of the unit, such as office supplies, general services, facilities, requirements, and orders, while performing minor duties related to the supervisor’s responsibilities, including making suggestions and providing assistance. · Arrange resources for occasional meetings, coordinating with other departments. · Prepare typewritten documents neatly and promptly. · Apply necessary spelling rules to ensure typewritten work is accurate and professional. · Manage the Administrative Secretary’s schedule. · Request and track the allocation of travel allowances for the Administrative Secretary. · Request work schedules for administrative staff. · Receive, analyze, route, and file internal and external correspondence of the Office. · Keep updated the Directory of Public Officials related to the Office. · Draft all official notices and memoranda issued by the Office. · Receive and distribute internal documents. · File control. · Control of folio numbers for official letters. · Route matters and issue minutes to ensure area compliance. · Manage the Fixed Cash Fund, gasoline vouchers, and other university resources. · Collaborate with other departments/areas upon request.
