Take the next step in your career journey and discover our exciting opportunities. ### **The Role** The Specialist \- Facilities enables the smooth running of AMS office(s) and delivers key administrative activities across the business, by using the Service Now platform. They ensure relevant locations are safe and fully operational, may act as the first point of contact for external visitors and provide best\-in\-class customer service to both internal and external stakeholders, including third party vendors. They support multiple internal processes which underpin the successful and safe operations of AMS’s physical infrastructure: Health and Safety system management, mobile devices administration, room bookings, systems management, etc. They play an important role in reporting key KPI’s within the remit of Global Facilities (property KPI’s, office attendance, etc.). They train junior colleagues. **This is a hybrid role working 3 days per week at our AMS Monterrey Office.** ### **What you will do: (Key Accountabilities)** * Resolve internal and external Facilities requests via Service Now, in line with KPIs. * Offer guidance to Facilities Coordinators for resolving complex requests, and support with training new joiners. * Manage reception desk (if applicable) including incoming calls and acting as the first point of contact for internal and external visitors. * Ensure all employees visiting the office each day are signing in via the Sign In App (if applicable). * Maintain Sign In App for relevant locations in line with requirements, ensuring tools to track office utilisation are in line (if applicable). * Proactively make improvement suggestions, e. g., processes, communication and flag any problems or risks. * Support travel requirements for relevant stakeholders, assist with booking travel, help troubleshoot travel issues. * Administer mobile devices for the business, including working with telephony providers on optimal offers, and ensuring compliance and governance requirements are met inasmuch as pragmatically feasible. * Review and update internal manuals and processes as appropriate. * Ensure excellent record\-keeping of documentation pertaining to Global Facilities. * Manage relationships with internal and external stakeholders, including third party vendors. * Demonstrate commercial awareness by researching alternative suppliers / vendors to reduce costs and expenditure. * Organise / facilitate internal and external events to ensure that they are successful. * Manage finances and track against yearly budget; and support the delivery of optimum cost efficiencies throughout the year. * Conduct regular floor walks to identify any necessary repairs or renovations (if applicable). * Manage office supplies including kitchen facilities and stationery (if applicable). * Oversee the cleaning / disinfecting schedules for the building /office floor(s) (if applicable). * Support office emergencies e.g., First Aid or Fire Evacuation procedures and review Health \& Safety documents, escalating where appropriate. * Organise and send communication to regional locations as needed. * Lead ad\-hoc Facilities projects and continuous improvement initiatives. * Subject matter expert, conducting trainings for colleagues.
