**Position Objective** To provide efficient and courteous service to patients while managing administrative processes related to purchases, suppliers, and supplies. Responsible for maintaining order in scheduling, patient records, and reception, as well as ensuring that materials and products are available and in optimal condition for the clinic’s operations. **Functions and Responsibilities** * Receive patients following established protocols. * Schedule appointments and manage changes or cancellations. * Answer phone calls and respond to social media messages during working hours. * Manage and update physical and digital patient records daily. * Prepare and file records for new and existing patients. * Ensure availability of printed documentation and consent forms for all procedures. * Perform cash collections and cash register reconciliations, delivering funds to designated personnel. * Keep the reception and assigned areas clean and organized. * Receive, register, and control products, equipment, and supplies in inventory. * Assist with basic cleaning and maintenance tasks (logs, taking out trash, etc.). * Provide basic information about services and operating hours. * Manage appointment reminders to reduce no-shows. * Report patient incidents or complaints to the Operations Manager. * Receive and register supplier orders (supplies, equipment, products). * Monitor and update supply inventories, checking expiration dates. * Forward incidents, complaints, or shortages to the Operations Manager. * Receive purchases and follow up with suppliers through the corporate office. It is the responsibility of each employee to ensure that all equipment and instruments in their work area are properly turned off and disconnected at the end of their workday. Failure to comply with this requirement will be subject to appropriate disciplinary actions according to the internal work regulations. **Requirements** Education: * Completed or incomplete bachelor's degree; preferably with courses or training in customer service or basic administration. Experience: * Minimum 1 year in customer service or reception roles, preferably in clinics or healthcare services.
