




Job Summary: The Dispatch Operations Specialist is the critical liaison who optimizes fleet operations, manages appointments, and resolves operational incidents, ensuring financial integrity. Conducts strategic planning with Trinium and proactive management. **Dispatch Operations Specialist** is the central hub of logistical execution, acting as the critical liaison between drivers, port terminals, and customers. Their mission is to ensure fleet optimization and on-time delivery performance through strategic planning in **Trinium**, proactive appointment management, and efficient resolution of operational incidents—always safeguarding the financial integrity of the process (AP/AR). **Key Responsibilities** * **Cargo Management and Assignment:** Administer and assign cargo to drivers via *Trinium*, optimizing installed capacity and fleet availability. * **Strategic Planning:** Generate the daily *Dispatch Report*, consolidating next-day *drayage* planning by cross-referencing customer data, port appointments, and driver status. * **Port and Warehouse Coordination:** Manage pickup and drop-off appointments at port terminal portals and customer warehouses, ensuring continuous container flow. * **Financial Control and Billing:** Validate, approve, and notify accessory charges (*accessorials*) to the *Settlement* team (AP) for driver payments and to *Transportation Coordinators* (AR) for customer billing. * **Monitoring and Tracking:** Track export cargo and local movements in real time, ensuring adherence to on-time KPIs. * **Maintenance Management:** Evaluate equipment repair requests and decide whether to route them to authorized external vendors. * **Stakeholder Communication:** Maintain direct contact with customers and internal teams to resolve operational bottlenecks and update appointment statuses. * **Data Integrity:** Ensure both the central system and drivers’ mobile applications are updated with accurate trip information. **Required Skills & Qualifications** **Education and Experience:** * **Academic Background:** Completed Bachelor’s degree, preferably in **Finance, Accounting, Logistics, or International Business**. * **Prior Experience:** Minimum **2–4 years** in the *Shipping & Logistics* industry. * **Specific Knowledge:** Desired experience in documentation review, data entry, reporting, and landside execution. **Technical Competencies (Hard Skills):** * Intermediate/advanced proficiency in **MS Office** (Advanced Excel is mandatory for reporting). * Experience with Transportation Management Systems (TMS), ideally **Trinium**. * Understanding of basic accounting concepts (Accounts Payable/Receivable and accessorials). * **Conversational English** (test required) **Interpersonal Competencies (Soft Skills):** * Assertive communication and negotiation with stakeholders at all levels. * Analytical ability to solve problems under pressure. * Attention to detail and strong organizational skills.
