




Position Summary: We are seeking a proactive and responsible Event Organizer to comprehensively coordinate social and corporate events, ensuring administrative and operational processes. Strong sense of responsibility and follow-up. The Event Venue is seeking an **Event Organizer** to join its team. We seek an organized, proactive individual with a strong sense of responsibility, capable of comprehensively coordinating social and corporate events while ensuring compliance with administrative and operational procedures. **Position Objective** To coordinate and supervise event planning, contracting, execution, and closure, guaranteeing a professional experience for clients and adherence to the venue’s internal guidelines. **Main Responsibilities** 1. Client Service and Follow-up * Provide detailed information regarding services, costs, and availability. * Request and collect necessary information to prepare quotations. * Prepare formal quotations and track their status. * Coordinate contract signing and receipt of advance payments. 2. Administrative Control * Draft and update contracts. * Manage security deposits based on the number of attendees. * Issue receipts, appointment reports, and incident reports. * Maintain document control (INE, payment receipts, attachments, event logistics). * Fully register the event in Asana with supporting evidence and internal tracking. 3. Planning and Logistics * Confirm setup and teardown dates. * Monitor adherence to scheduled timelines and contracted capacity. * Coordinate with vendors and verify compliance with internal regulations. * Verify logistics provided by the client or external planner. 4. On-site Event Supervision * Represent NAICA during the event. * Monitor the condition of the premises before, during, and after the event. * Document incidents with photographic evidence. * Supervise teardown and final conditions of the venue. 5. Post-Event Closure * Prepare incident report (if applicable). * Process refund of security deposit. * Confirm absence of outstanding administrative matters with the client. **Requirements** * Experience organizing events (social and/or corporate). * Excellent client service skills. * Proficiency in formal writing and business email communication. * Organizational and administrative control skills. * Familiarity with digital tools (email, Microsoft Office suite, management platforms such as Asana). * Flexible availability (including weekends). **Key Competencies** * Organization and attention to detail. * Clear and formal communication. * Conflict resolution. * Operational supervision and leadership capability. * Strong sense of responsibility and follow-up. **We Offer** * Integration into an established, formal venue located in the city’s best area. * Professional work environment. * Development opportunities in comprehensive event coordination.
