




**Client Care SpecialistOverview** We are seeking an experienced **Client Care Specialist** to own client communication after sign\-up and guide clients through the early stages of their case. This role is responsible for protecting the client experience at every touchpoint—building trust, maintaining momentum, and preventing issues before they escalate. You will handle welcome calls, proactive check\-ins, routine client questions, and early issue resolution while tracking client sentiment, managing timelines, and helping prevent complaints, drop\-offs, and negative reviews. This is a **relationship\-driven role** for someone who communicates clearly, follows through consistently, and understands how strong client care directly impacts trust, retention, and referrals. You guide clients after they sign with our firm. You protect trust. You prevent complaints. You make clients feel supported. **Key Responsibilities** * Call new clients within **24 hours** of sign\-up to welcome them and set expectations * Clearly explain next steps, timelines, and what clients should expect * Conduct proactive check\-ins at **Day 7, Day 30, and monthly thereafter** * Answer routine client questions accurately and professionally * Track client sentiment, satisfaction, and risk indicators * Follow up on missing documents and required information * Identify and flag delays or issues early to internal teams * Log all client communication accurately in **Filevine** * Help resolve concerns before they escalate into complaints * Prepare satisfied clients for reviews and referrals **What We’re Looking For** * Clear, confident phone and written communication skills * Strong follow\-up habits and attention to detail * Comfort handling sensitive or emotional client situations * Ability to build trust and maintain professional relationships * CRM experience preferred (Filevine strongly preferred) * Customer service, client care, or legal support background preferred * Professional, warm, and personable demeanor * Fluent in English (spoken and written) **Why This Role Matters** This role directly protects the client experience.
