




**JOB OBJECTIVE** Provide courteous, efficient, and professional service to patients, family members, and visitors of the clinic, ensuring proper initial administrative management, patient registration, and effective communication between clinical and administrative departments, in compliance with internal protocols and current regulations. **FUNCTIONS AND RESPONSIBILITIES** **Patient and General Public Service** * Receive and guide patients, family members, and visitors respectfully and empathetically. * Provide general information regarding services, operating hours, requirements, and care procedures. * Appropriately direct patients to the corresponding clinical or administrative staff. * Assist with the entry and movement of patients with disabilities or those using wheelchairs. * Maintain a professional and supportive attitude during sensitive or stressful situations. **Administrative Management** * Register patient arrivals (check\-in) and departures according to established protocols. * Follow up on cancellations or rescheduling. * Prepare and safeguard basic patient administrative documentation. **Document Control and Systems** * Enter and update patient data in authorized digital systems and/or physical forms. * Verify that medical records contain required documentation (identification, consents, medical orders, etc.). * Support document control and filing activities per the document control procedure. **Billing and Collections (per protocol)** * Assist in issuing invoices, receipts, and payment confirmations. * Inform patients about available payment methods, costs, and administrative policies. * Record payments and issue confirmations according to established guidelines. * Coordinate with the administrative department regarding any billing-related incidents. **Communication and Operational Support** * Maintain constant communication with nursing staff, physicians, and administration. * Report incidents, complaints, or suggestions through established channels. * Support general administrative tasks as required. * Comply with confidentiality and personal data protection protocols. **JOB PROFILE** **Education** * Completed high school diploma (minimum requirement). * Technical degree or incomplete undergraduate degree in administrative or related fields (preferred). **Experience** * Minimum 1 year in reception or customer service roles. * Experience in clinics, hospitals, or medical offices preferred. **Knowledge** * Customer service. * Basic computer skills (email, spreadsheets, administrative systems). * Basic knowledge of billing and healthcare services preferred. **Skills and Competencies** * Clear and empathetic communication. * Organization and time management. * Teamwork. * Discretion and confidentiality. * Basic problem-solving. * Stress tolerance. **JOB CONDITIONS** * Work at the reception area with direct patient contact. * Mandatory use of institutional uniform and identification badge. * Strict adherence to confidentiality, ethics, and internal protocols. * Ongoing training per the clinic’s guidelines.
