Position Summary: Provide operational and administrative support, ensuring control, recording, and timely tracking of documentation, settlements, overdue accounts receivable, expenses, and incidents to maintain efficiency. Your role directly contributes to maintaining order, efficiency, and compliance with administrative and financial processes within operations. * Main Responsibilities * Settlement management and operational documentation handling * Receive, review, and validate documentation submitted by delivery personnel (receipts, cash, checks, bank transfers, reports). * Perform route settlements in the system, ensuring accurate reconciliation of amounts. * Record and register discrepancies (shortages or overages) identified during review. * Portfolio and collections control * Prepare and update the overdue accounts receivable report daily. * Track orders with pending collections and update their status in the system. * Support communication with internal or external clients for clarifications and payments. * Recording and control of operational expenses * Capture and classify invoices for recurring and non-recurring expenses (fuel, SEPSA, GPS, maintenance, among others). * Verify supporting documentation prior to submission to the accounting or audit department. * Maintain updated internal controls for expenses and supporting documents. * Administrative incident management * Compile case files for special situations (thefts, credit notes, clarifications, shortages). * Follow up with involved departments until administrative closure of incidents. * Documentary and organizational support * Manage physical and digital filing of administrative documents. * Prepare control reports, databases, and internal presentations using Excel or PowerPoint. * Support general administrative tasks assigned by the department. Required Knowledge * Intermediate Excel skills (pivot tables, filters, basic formulas). * Administrative, accounting, or document control processes. * Basic knowledge of cash handling, expense verification, and reconciliations. * Prior experience in logistics, distribution, or retail companies is desirable. * Experience using administrative systems or ERP (SAP preferred).
