




Job Summary: Responsible for providing administrative and operational support in managing real estate project procedures, ensuring timely approval of permits and licenses. Coordination with internal and external departments Responsible for providing administrative and operational support in the management, tracking, and control of procedures related to real estate projects, ensuring timely compliance with permits, licenses, and legal and technical files. Functions and Responsibilities • Assist in preparing, reviewing, and compiling documentation for real estate, legal, and administrative procedures. • Manage and track procedures with public and private agencies, including: o Urban Development o Cadastral Office o Public Property Registry o Municipalities o Notary Offices • Track permits and licenses, including: o Construction permits o Land use permits o Subdivisions o Condominium regimes • Compile and maintain up-to-date physical and digital files per project, lot, or client. • Monitor deadlines, expiration dates, and procedure statuses, promptly reporting to relevant departments. • Submit, receive, file, and digitize official letters, notices, notifications, and resolutions. • Support deed processing and coordination with notary offices. • Conduct on-site visits to agencies for document submission, follow-up, and collection. • Prepare progress reports and status tracking reports for procedures. • Coordinate with internal departments (architecture, legal, sales) and external parties (surveyors, agents, notaries). • Act proactively to prevent delays, errors, or rejections in procedures. Requirements • Technical or university degree in Law, Administration, or related field. • Basic knowledge of real estate procedural processes and administrative procedures. • Proficiency in Microsoft Office (Word, Excel, email). • Strong writing and spelling skills. • Experience in real estate or construction procedures (preferred). • Willingness to conduct on-site procedures. • Valid driver’s license (preferred).
