Send quotations to prospective customers and/or requests received by the department; control and follow up on submitted quotations to ensure timely closing of events; generate area revenues to meet budget targets. Enter necessary daily operational records into Grupo Posadas corporate systems (Tiempo Cero). Ensure meeting rooms are available or suggest alternative dates to clients; maintain accurate tracking of room availability and space requirements for each event or session. Prepare final event contracts and ensure receipt of 1% deposit and/or guarantee letters from companies with established credit at the hotel. Ensure timely payments to prevent bad debts or overdue accounts. Provide detailed event requirements and sales commitments that need to be coordinated. Supply the Groups and Banquets Coordinator with data, details, and/or special requirements necessary to prepare the service order and execute the event with complete customer satisfaction. Perform all necessary administrative tasks for all accounts, including social events generated by the Sales department. Compile supporting documentation required for each file to ensure fast and timely billing processes, avoiding overdue receivables. Supervise directly contracted events until completion of food service. Ensure fulfillment of sales commitments and achieve 100% customer satisfaction with the service delivered. Hand over the event to the Banquet Captain with a checklist and client present.
