We seek a **PSD Administration Coordinator** to provide comprehensive administrative and operational support to the Parts & Services Division, ensuring efficient coordination, document control, compliance with internal processes, and direct support to the PSD Management. This role is critical to guaranteeing operational efficiency, financial–administrative control, and excellence in service delivery. **Role Mission** Provide administrative, organizational, and operational support to the PSD Division, ensuring: * Accuracy and timeliness of service documentation * Timely invoicing and reporting * Efficient coordination with customers and internal departments * Compliance with administrative and corporate processes * Direct support in achieving the division’s operational objectives This position reports directly to the **PSD Manager**. **Key Responsibilities** **Executive & Administrative Support** * Provide secretarial and administrative support to the PSD Manager: + Meeting organization + Calendar management + Minutes and presentation preparation + Translations and executive summaries + Expense tracking and reporting * Attend executive meetings and ensure accurate recording of agreements and action items. **Operational Coordination & Reporting** * Ensure weekly and monthly management reports are delivered on time and accurately. * Report the division’s weekly travel plans. * Coordinate domestic travel, visit logistics, and cost optimization. * Support consolidation of information for analysis and decision-making. **Financial & Document Control** * Support divisional expense control (corporate cards, reimbursements, leases, hotels, etc.). * Prepare and track Business Cases for staffing requests. * Contract administration and archiving. * Support internal and factory warranty control. * Ensure timely invoicing and complete supporting documentation. **Compliance & Internal Processes** * Guarantee compliance with the Epiroc Management System (EMS). * Promote the Sustainability Policy and SHEQ standards. * Participate as support in internal audits when required. * Ensure professional communication aligned with the Code of Conduct. **Communications & Events Support** * Support planning and organization of business-related events. * Coordinate logistics and internal communications when required. **Key Performance Indicators (KPIs)** * Accuracy and timeliness of documentation and reporting * On-time invoicing * Efficient expense control * Compliance with administrative processes * Level of satisfaction among PSD Management and internal stakeholders **Profile Requirements** **Education** * Bachelor’s degree in Business Administration, Business Management, or related field. * Intermediate–advanced English. **Experience** * 5–10 years in similar administrative roles (preferably in mining, engineering, or industrial services). * Experience working with ERP systems (SAP or similar). **Technical Knowledge** * Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook). * Power BI proficiency preferred. * Understanding of technical service operations (advantageous). * Preparation of executive reports and budgetary control.
