




Position Summary: The Administrative Assistant manages reception activities, executive support, office management, and assistance to operations and procurement teams. Key Highlights: 1. Comprehensive management of reception activities and travel coordination. **Administrative Assistant** **GENERAL EXPERIENCE** ======================= * 1–3 years of experience in similar positions (preferred). * Intermediate-level computer skills (Word, Excel, PowerPoint, etc.). * English language proficiency (minimum 75%). * Completed high school or university degree. **ACTIVITIES AND RESPONSIBILITIES** =================================== * Schedule transportation for internal and external visitors between the border crossing and the BRM site. * Reserve hotel accommodations for Bryant Rubber’s executive team and/or BRM’s visitors. * Request FMM documents for foreign visitors and scan copies to HR. * Conduct follow-ups and visits for signing agreements and annual renewals of hotel and service contracts provided to the company. * Make restaurant reservations as requested by the executive team. * **Reception Activities** + Answers and routes all incoming calls. + Receives, registers, and directs (entry and exit) local and foreign visitors. + Receives service providers; stamps and signs invoices for services rendered. + Assists with written and verbal translations. + Orders meals (and picks them up if necessary) for the executive team during visits. + Prepares identification badges for visitors and/or auditors (upon request). + Manages key inventory, maintains a complete key box, makes copies when required, etc. - Safeguards the server room key. + Supports HR in organizing company events. * **Office Management** + Conducts inventories of the following items to maintain stock levels; generates requisitions and purchase orders as needed: * Kitchen, medical, and office supplies (and distributes them to various departments upon request) * + Obtains quotations from multiple suppliers to ensure optimal costs for our supplies. * **Administrative Support to Operations Team** + Oversees office and kitchen areas to ensure compliance with “6S – AAAU” standards. + Generates requisitions and purchase orders upon request (for BRC/BRM). + Assists in preparing various reports for different departments. + Performs off-site errands (purchases, courier services, general errands). * **Administrative Support to Procurement Team** + Assists in processing and tracking new credit line applications with various companies. + Generates requisitions, purchase orders, and receipts for import/export transportation services; stamps/signs/scans carrier invoices as payment approval. + Contributes to maintaining, creating, and updating supplier profiles and adding documents to IQM for supplier control.
