Job Summary: Responsible for the operational, documentation, and administrative management of a mobile APP implementation, coordinating teams and ensuring orderly project progress and adoption. Ensure the adoption of new digital tools OBJECTIVE: Responsible for operational, documentation, and administrative follow-up of the mobile APP implementation project, in coordination with the external consultant, internal departments, and key users; ensure schedule progression, agreement documentation, test execution, incident routing, and orderly organizational adoption of the tool. FUNCTIONS · Track the mobile APP implementation schedule, updating progress, delays, risks, and next steps. · Coordinate working meetings among the external consultant, Management, Operations, Commercial, CRC, Administration, and key users. · Maintain an up-to-date matrix of pending items, risks, decisions, and requested changes during implementation. · Support the external consultant in gathering operational information, current workflows, business rules, and user requirements. · Document basic functional requirements, use cases, operational workflows, and acceptance criteria defined by departments. · Coordinate functional testing and pilot testing with internal users, recording findings, incidents, and improvement opportunities. · Track incident resolution with the consultant or technology vendor until closure. · Prepare weekly progress reports for Management, including completion percentage, blockers, risks, and required decisions. · Support initial user training and reinforce correct APP usage during the adoption phase. · Administer the project’s document repository: schedule, meeting minutes, manuals, evidence, reports, tests, and versions. · Track the loading and quality of data required for KPIs, dashboards, and operational custody service reports. · Support the phased rollout of the APP and document lessons learned to stabilize operations post-launch. REQUIREMENTS Completed bachelor’s degree in Industrial Engineering, Systems Engineering, Information Technology, Business Administration, Business Management, Logistics, or related field. (Basic training in project management, agile methodologies, process analysis, or digital productivity tools is desirable.) KNOWLEDGE · Intermediate proficiency in Excel, PowerPoint, and digital collaboration tools. · Basic familiarity with MS Project, Planner, Trello, Jira, Monday, or similar tools is desirable. · Familiarity with functional testing, use cases, incident documentation, and user validation. · Interest in digital transformation, mobile apps, KPIs, dashboards, and process improvement. · Organization’s management system and internal procedures applicable to the position.
