Position Summary: We are seeking an Executive Assistant to represent the institutional image, provide proactive and discreet service, and ensure the smooth operation of executive activities and front-desk reception. We are currently seeking \- **Executive Assistant, Polanco area** *\- Purpose* To represent the institutional image and deliver warm, proactive, and discreet assistance to Executive Leadership, safeguarding the corporate experience and anticipating needs to ensure seamless daily operations, front-desk reception, and executive events. \- *Main Responsibilities* * Front-desk reception and personalized service: greets clients, suppliers, candidates, and accompanies Executive Leadership; logs entries/exits in the logbook and manages access according to security protocols; provides courteous, professional, and adaptable service based on visitor’s seniority. * Priority assistance to Executive Leadership: screens and routes calls, messages, and visits with confidentiality; maintains fluid communication to address urgent requests and closely monitor leadership needs before, during, and after meetings or travel. * Executive logistical coordination: arranges meeting rooms, support materials, and services; manages timely reservations (hotels, restaurants, transportation); coordinates arrivals and departures of high-level guests. * Event and protocol support: receives and escorts attendees at corporate events, distributes welcome kits, and oversees standards of appearance and etiquette; collaborates with vendors and internal teams to ensure an impeccable experience. * Basic document and administrative management: maintains simple physical and digital correspondence and front-desk filing systems; reports incidents and front-desk supply status to ensure uninterrupted service. * Experience supervision: monitors the front-desk environment (appearance, cleanliness, service quality) and submits observations or improvement proposals to uphold the professional perception of Executive Leadership. \- *Requirements* * Education: Technical degree or relevant coursework in hospitality, customer service, or secretarial studies preferred. * Experience: Minimum 1–2 years in front-desk reception, hostess, or corporate customer service roles. * Skills: Excellent interpersonal skills, empathy, discretion, and ability to anticipate and prioritize Executive Leadership’s needs; proactivity and composure under pressure. * Digital competencies: Basic knowledge of access control systems, digital logbooks, and Microsoft Office suite; aptitude to quickly learn internal platforms. *Key Skills* \- Learning Agility \- Teamwork \- Analytical Thinking \- Effective verbal and written communication. \- Responsiveness. \- Attention to detail \- Technical language. ***On-site work*** We are highly interested in welcoming you to our team.
