Receptionist

Objective: To satisfy the needs of our external and internal customers by performing all shift-related activities in accordance with established standards, maintaining effective communication, resolving any issues raised by our customers, or routing them to the appropriate department or area. Key Responsibilities: * Adhere to assigned schedules and/or request schedule changes from the Reception Manager. * Check email daily, follow up on pending items, and prioritize operational and administrative tasks. * Take over the shift by reviewing the logbook to follow up on pending items and thereby establish priorities for operational and/or administrative matters. * Review and use the department’s checklist. * Record all pending items or problems that arise in the reception logbook for subsequent follow-up. * Perform standardized check-in, check-out, and account statement interpretation procedures. * Promote and achieve monthly sales targets for room upgrades and all-inclusive packages. * Conduct currency exchanges according to procedure, ensuring simultaneous updates in the system. * At the end of the shift, print bank terminal transaction reports to verify that all transactions are recorded in the system and that figures reconcile. * Report actual guest departures and early departures to Housekeeping. * Receive and perform the cash count (cash reconciliation) for the previous shift (reception cash drawer audit). * Verify that all areas are in perfect condition (order and cleanliness); if unclean, notify the responsible department. * Record room changes in the checklist, PIT, system, and logs. * Verify guest arrivals and departures. * Follow up on pending items from the nightly audit. * Attend all required training sessions. * Post guest consumption charges to the system and record them accordingly. * Print daily transaction reports for reconciliation purposes. * Maintain the PIT in order. * Follow up on late check-outs. * Perform pending check-ins and check-outs according to procedure. * Prepare next day’s guest arrivals and departures. * Print personalized registration cards for next day’s arrivals. * Review the reception logbook and checklist daily and follow up accordingly. * Print check-in documentation for next day’s arrivals. * Print express check-out documents. * Print newspapers for delivery to guests’ homes. Requirements: * Bachelor’s degree in Tourism, Tourism Business Administration, or a related field. * Languages: 80% proficiency in English. * Office Software: Advanced proficiency in Microsoft Office suite. * Basic Accounting knowledge.
