Are you passionate about boutique hospitality, organizing memorable events, and delivering top-tier attention to detail? At **Orchid House Hotels**, we are seeking a dynamic professional with a strong sense of urgency and customer focus to join our team as **Groups and Events Coordinator**.
Job Objective
You will serve as the right hand of the Groups and Events Management team, handling operational logistics, providing personalized service to *event planners* and VIP guests, managing group reservations, and ensuring flawless execution of every event on property—upholding the brand’s highest standards of quality and confidentiality.
Your Key Responsibilities
* **Event Logistics and Operations:** Coordinate event setups, timelines, and preparation of BEOs (Banquet Event Orders) for each event, distributing them to the operations team one week prior to guest arrival.
* **Client Engagement and Sales:** Receive leads, conduct site inspections for prospective clients and *event planners*, and ensure timely follow-up on event quotations (excluding *buyout* arrangements).
* **Control and Administration:** Manage the group reservation system (check-in/out, accounts, rate review, room assignment, *Rooming List*, and billing).
* **Cross-Departmental Coordination:** Attend "PRE-CON" meetings with department heads (Front Office, Housekeeping, Accounting, F&B) to review logistics for each group.
* **Vendor Management:** Place purchase/maintenance orders for required materials (candles, string lights, lounge settings) and ensure appropriate hotel *mark up*.
* **Operational Leadership:** Address vendor needs and assume full operational responsibility for all events in the absence of the department manager.
Ideal Candidate Profile
* **Technical Knowledge:** Essential experience in **Front Office and Concierge** functions.
* **Commercial Skills:** Proven ability to sell hotel rooms, banquet services, and related offerings.
* **Languages:** Advanced **English** proficiency (spoken and written). A third language is considered an advantage.
* **Core Competencies:**
* Strong logistical organization, conflict resolution, and decision-making skills.
* Excellent time management and prioritization abilities—even under stress.
* Clear thinking, proactivity, initiative, and exceptional attention to detail.
* Strong verbal communication skills and highly courteous interaction with team members, guests, and external vendors.
