Summary: The Receptionist manages the front desk, performs administrative tasks, and provides departmental support. Highlights: 1. Manage front desk operations and administrative tasks daily. 2. Utilize Microsoft Office (Excel, Word, PowerPoint) for various tasks. 3. Contribute to a diverse and inclusive workplace culture. General Description The receptionist is responsible for managing the company’s front desk on a daily basis and performing all administrative tasks required by the manager, as well as any support activities needed by the department. Experience and Education High school diploma required; professional degree desirable. Two years of experience in similar positions. Knowledge, Skills, and Certifications Intermediate\-level English. Basic knowledge of Access Control Systems and Payroll Programs (PIDA, TRESS). Proven knowledge and skills in the use of computer software packages such as Microsoft Office: Excel, Word, and PowerPoint. Ability to prepare Purchase Requisitions, Purchase Orders, and Invoices. Implementation of Security Reports. Basic knowledge of C\-TPAT and OEA certifications (desirable). Knowledge in Asset Protection/Security (desirable). Main Tasks and Responsibilities Answer and direct phone calls. Perform administrative tasks. Attend to Contractors and Visitors. Receive and coordinate mail and packages. Organize and maintain Security files. Execute and maintain access control procedures (COVID, Packages, Suspicious Calls). Follow up on Security tickets, coordinating with Monitoring personnel to respond to requesters. Maintain control and supervision of External Company Badges. Issue Badges for New Hires and/or Badge Replacements. Program New Hire Cards in the Access Control System and/or modify access levels of active employees with prior approval. Manage the Department’s Purchase Orders. Assist with travel reservations for the department. Prepare reports. Manage schedules and coordinate events. Provide general support to site assistants. Participate in meeting the QMS (Quality Management System) requirements related to ISO9001:2015 for this role. Comply with safety rules determined for this position. Complete planned training related to Quality and Training on time. Identify and report any issues regarding quality and compliance and support corrective actions. Perform any other duty or responsibility assigned by the manager.
