




The Scheduler/Customer Support is the "friendly gatekeeper" of the sales department – responsible for initial inbound lead engagement, basic profiling, appointment scheduling, manual follow-up, and post-sale document/payment collection. Focused on cultural empathy for the Hispanic niche (Latinos in the U.S. without tax expertise), ensures no lead goes cold, maximizing conversion without overburdening the team. **Detailed Activities** Activities are divided into daily/weekly tasks, with high-volume focus during tax season peaks. * **Initial Engagement (daily):** respond to inquiries via Messenger, WhatsApp, RingCentral calls, or email to pre-classify in Accoflow/Notion. * **Scheduling and Follow-up (daily/weekly):** schedule appointments with accountants (virtual via Google Meet). * **Post-Sale Support (daily):** collect documents/payments post-closing (e.g., IDs for USDOT), process initial payments. Nurture existing customers (e.g., bilingual emails/reminders for tax season or future upsell). * **Interconnection with Other Roles:** receive documents collected by the salesperson for final administration; pass qualified leads to accountants for closing. Collaborate with marketing on optimized inbound leads. **Work Tools** * **Primary CRM: Accoflow (lead/call/notes tracking)** – use for daily tracking, sharing with accountants/salesperson. * **Digital Communication:** Messenger, WhatsApp Business (support/follow-up), RingCentral (Google Ads calls), Google Workspace (emails/reminders, team collaboration). * **Virtual Meetings:** Google Meet (for remote scheduling, integrated with Workspace). * **Manual Tracking:** Notion or Google Sheets (for profiling/lost leads). * **Others:** Zoom as backup for Meet, Excel for document/payment templates. **Ideal Candidate Profile** * **Experience:** 1–2 years in customer service/administration, preferably in tax services or the Hispanic niche. * **Skills:** bilingual Spanish/English (essential for empathy), organized, empathetic (e.g., handling cultural objections such as "We understand IRS barriers for Latinos"). * **Personality:** proactive, patient under pressure, available in GA/FL time zones. * **Education:** relevant bachelor’s degree, with basic sales training.
